Position Overview:
We are seeking a friendly and detail-oriented Front Desk Receptionist to be the first point of contact for our clients and visitors. The ideal candidate will have strong communication skills, a professional demeanor, and the ability to manage multiple tasks efficiently.
Key Responsibilities:
Handling Incoming Calls: Answer and route phone calls appropriately, ensuring each call is directed to the correct department or individual.
Greeting Clients and Their Families: Provide a warm and professional welcome to clients and their families upon arrival.
Scheduling Appointments and Follow-Ups: Manage appointment scheduling, including setting up, rescheduling, and confirming appointments. Follow up as needed.
Directing Customer Inquiries: Route customer inquiries to the appropriate department or staff member to ensure prompt resolution.
Filing Paperwork: Organize and file documents accurately to maintain a well-organized office environment.
Distributing Mail: Sort and distribute incoming mail and packages; process outgoing mail, including sealing, stamping, and bundling of envelopes.
Database Management: Update our database regularly with client information to ensure accuracy and availability.
Inventory Tracking: Monitor and keep track of office supplies and inventory levels.
Message Taking and Delivery: Take and deliver accurate phone messages, including call back numbers, area codes, and details regarding the call.
Reception Area Maintenance: Maintain a neat and tidy reception area, addressing any clutter and ensuring a professional and comfortable office atmosphere.
Communication: Utilize excellent verbal, written, and electronic communication skills in all interactions.
Prioritization and Workflow: Prioritize tasks, handle interruptions effectively, and adjust tasks as needed to meet the demands of the position.
Qualifications:
Previous experience as a receptionist or in a similar customer-facing role is preferred.
Strong verbal and written communication skills.
Proficient in office software and technology, including Microsoft Office Suite and database management systems.
Excellent organizational skills and attention to detail.
Ability to multitask and handle interruptions with ease.
A professional appearance and demeanor.
High school diploma or equivalent; additional education or certifications in office administration is a plus.
