About the District

Springfield Public Schools is located in Springfield, Oregon, in the heart of the Willamette Valley, and serves 185 square miles of the city of Springfield and East/Central Lane County. We are directly east of Eugene, where the University of Oregon is located. Salary and Benefits

The hourly range for this position is $19.88 - $26.16 (Range 11 - Based on the 2023-24 OSEA Classified salary schedule) depending on education/experience plus a generous benefit plan.

About the Position

This position is responsible for high-level bookkeeping, accounting procedures and cash management for the Transportation Department. This position handles daily work pressures that require constant concentration to a volume of work that must be completed within a limited period of time. The individual in this position will also be required to obtain a Class-B Commercial Driver's License (CDL) and may be called upon from time to time to drive a school bus. As such, the candidate selected for this position will be required to successfully pass a underemployment Department of Transportation (DOT) drug screen, strength assessment and physical.

Essential Functions

Essential duties of this position include the following. Employees in this position perform some or all of the following skills. Other duties may be assigned.

Processes accounts receivable / payable and balances cash drawer, on a daily basis.

Makes bank deposits, collects NSF checks, and verifies / reconciles account statements.

Prepares and makes payment on bills and balances the checkbook.

Processes all miscellaneous payments / reimbursements e.g., parent / guardian mileage requests, employee reimbursement, cash advances, etc.

Processes 1099’s for contracted services payments.

Prepares all monies, cash boxes, and receipts for events and reconciles upon return.

Assists in budget preparation, documentation, and reporting.

Processes purchase order requisitions, verifies delivery and issues payment, ensuring accuracy.

Prepares invoices for student accounts with fees, fines or other billing issues.

Maintains accurate accounting records including: student body / athletics, accounts payable and receivable, events, nutrition program, and all activity / club accounts.

May maintain accurate school accounts and billings including program accounts for staff (fundraising, fairs, sports, etc.), posting, writing checks, making deposits and reporting.

Completes a high volume of computer data entry work, using District computer programs, to input high volumes of data ensuring speed and accuracy, including confidential data, in an environment with constant interruptions.

Completes appropriate logs, forms and paperwork, as necessary.

Prepares timely and accurate reports for administration as needed or requested.

Attends meeting, in – service trainings and workshop trainings; applying training to responsibilities.

Maintains working knowledge of laws of the state of Oregon applicable to school business.

Performs general office duties including answering multi-line phones, routing telephone calls or messages to appropriate staff, greeting the public, typing, filing, sorting and handling incoming and outgoing mail.

Assists other office staff and services as back-up as needed.

Troubleshoots office machinery and coordinates maintenance and supply inventory as needed.

May reconcile student accounts in SNAP and My Meal.

May process free and reduced price lunch applications and monies.

May order food, supplies, materials, equipment, and other services with accuracy.

May verify completion of deliveries and ensure accuracy of orders received.

Reports issues to supervisor(s) immediately

Other related duties may be assigned.

Minimum Qualifications

Education:

Associates degree (A.A.) or higher (attach diploma) or the equivalent; AND High School Diploma or General Education Diploma (GED).

Associate’s Degree education equivalency equals two (1) year of increasingly responsible work experience for each full year (36 credit hours, 24 semester hours) of college. Work experience must be in an office setting reasonably related to Public Education.

Experience

One (1) year of work experience in bookkeeping / accounting (minimum experience requirements are in addition to Associate Degree equivalencies).

Certificates, Licenses, Registration & Other Requirements:

Ability to obtain a valid First Aid/CPR card, pass Safe Schools training modules as assigned, maintain appropriate certifications and training hours.
