Weyerhaeuser's Timberlands Aviation team has an opening for an Administrative Assistant. As the Administrative Assistant, you will be responsible for providing day to day administrative support for the members of the aviation, logistics and operations teams to help facilitate and ensure safe and efficient operations. This is a full-time, non-exempt position based in Eugene, OR, with occasional travel to our Chehalis, WA location. The Administrative Assistant reports to the Base Manager. Salary level is dependent on skills and experience.Key Functions
Contract administration – set up and maintain contracts for contract hauling and maintenance
Manage purchasing and invoicing processes for the operations
Word processing, contract generation, presentation preparation, spreadsheet creation and maintenance, database creation and maintenance
Provide support to the logistics planning team and the dispatching processes
Serve as a safety role model, overseeing the administrative duties for health and safety program and Weyerhaeuser’s audit process
Input and maintain records for payroll/personnel activities for aviation operations
Support the aviation staff with being the site contact for contracted services and building maintenance, administer and coordinate ship/receive parcels and mail, maintain general office supplies, and help with scheduling/meeting preparation (room reservations, meals, and logistics)
Provide customer service as main phone contact and receptionist for facility
Participate on project teams and/or provide back up and support to work on special projects or other duties as assigned
High School Diploma or equivalent (or higher)
At least five years of administrative experience
Energetic, positive, and motivated team player with a desire to learn new tasks
Exceptional communication skills
Strong desire to work effectively in a team environment and learn the overall business
Be able to organize workload, establish priorities and adapt to changes
Ability to anticipate and resolve issues with minimal direction
Excellent computer skills including Microsoft Office – Word, Excel, PowerPoint, Outlook (e-mail & scheduling), Power BI and SharePoint; with ability to learn company specific programs
Possess a high degree of initiative and commitment to "flow to work” as peaks in cyclical tasks and business priorities necessitate
Detailed oriented and comfortable working in a fast-paced environment
Strong work ethic
General knowledge of sound office practices
Preferred Qualifications
Associate Degree (or higher) in Business or related field
Experience in managing DOT records/employee files
Contract administration experience
Knowledge of or previous experience with the following programs. Fleetworthy, LIMS, SAP, CAPS and ABECAS
Compensation:This role is eligible for our annual merit-increase program, and we are targeting a salary range of $44,606 - $66,978 based on your level of skills, qualifications and experience. You will also be eligible for our Annual Incentive Program, which offers a cash bonus targeting 5% of base pay. In addition, after being employed for six months, eligible employees begin to accrue vacation for future use. We also recognize eleven paid holidays per year, providing a total of 88 holiday hours
