Gathering Together Farm (GTF) in Philomath, Oregon, is seeking a full-time office team member who is ready to hold responsibility for a 50-120 employee biweekly payroll, coordinate diverse employee benefit services, and perform a variety of core administrative functions for our 65-acre organic vegetable farm and on-farm farm-to-table restaurant.
Position Type / Expected Hours of Work:
Full-time, year-round position in farm/restaurant office space. This work demands being on-site. It is not remote.
40 per week, approximately 8:00am-4:30pm, Monday through Friday. (We can customize together.)
Essential Duties and Responsibilities:
Managing office functions, such as: Coordinating weekly office meetings and minute notes, managing the progress on projects, and other needs the office may have.
Maintain an organized and fully stocked office environment, ranging from filing systems for records to supplies procurement for multiple departments to office and farming forms printing for a variety of GTF uses.
Coordinate annual SAIF and Insurance Policy renewal meetings with Pacific Risk Management
Change the Server Backup Hard Drive weekly.
Reporting and point of contact for Workers’ Compensation claims, SAIF audits, managing OSHA 300 logs, making sure incident reports and 801 forms are complete and submitted in a timely manner.
Perform all aspects of biweekly payroll process for 50-120 employees (varying from full-time, part-time, and seasonal positions) for both the GTF Farm and GTF Restaurant businesses.
- Paying local taxes, garnishments, and Roth IRA (Oregon Saves) contributions.
- Reporting monthly labor hours to United ACA
- Processing employee reimbursements
Manage uAttend software and hardware and ensure their functionality for time tracking and businesses analyses.
Bookkeeper and accountant liaising and operations: Reconciling the Farm and Farmstand QuickBooks Files, entering due to/due from transactions, entering gift card entries/purchases, and answering any QuickBooks related questions.
Entering and paying bills (Accounts Payable) or parking citations.
Credit card transactions entry, balance monitoring, and payments.
Lead new employee on-boarding process, from initial paperwork receiving and profile creation to 1-on-1 or small group presentation of our formal employee orientation, covering GTF company policies and general procedures.
Confirming with managers their hiring needs, posting job positions, editing the website job postings, and distributing applicants to the owners and managers
Helping employees when they have questions
Setting up and coordination with outside entities for farm employee health benefit services (Farm clinic, on-farm vaccination events, and other services and employee perks).
Assist with customer phone inquiries, email queries, and other service-oriented office environments.
Monitoring our Square account for online gift certificate purchases and taking over the phone payments of gift certificates
Coordinating the printing of CSA brochures, GTF brochures, GTF Bucks, CSA credits, Gift Certificates, and business cards
Preferred Qualifications:
Commitment to excellence and efficiency in small business administration, from the macro to the micro levels.
Effective and caring communication, with interest in working with a broad range of types of individuals.
Bilingual English-Spanish strongly preferred; however English fluency for office and computer use is primary.
Initiative and willingness to reach out to, and/or approach, a wide variety of people, depending on the need.
Experience with Outlook, Quickbooks, uAttend, Excel, Word, Canva, Instagram, Facebook, and other office software.
Technical troubleshooting abilities to optimize HR, office, and markets hardware and find solutions for malfunctions.
Focus, self-awareness, discipline, and motivation, in order to perform in an important and semi-autonomous role.
Friendly communication, a collaborative spirit, and a love for teamwork and problem solving.
Valid driver’s license, and reliable transportation to and from the farm, as well as for bank and post office runs.
