Summary:Under the direct supervision of the Office Manager, this position performs specialized legal assistant functions for the Crook County District Attorney’s Office; performs a variety of duties associated with general office assistance in a legal setting. This position performs a variety of experienced legal secretarial, technical, and administrative support functions.Essential Job Functions:Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. Performs legal administrative duties in the Crook County District Attorney’s Office (“DA Office”); performs duties within scope of authority, and in compliance with County policies and the law; job duties may vary according to work assignment and training. Must have ability to form and build good working relationships with co-workers, supervisor, court staff, law enforcement, and the general public. Examines legal documents for accuracy and completeness, tracks deadlines and processing requirements, and advises attorneys of legal timetables and deadlines. Process, review and maintain case files, supporting documentation, legal documents, correspondence, and maintain confidentiality. Assist DA Office attorneys with clerical and administrative support functions as requested. Learns to compose and create memoranda and legal documents, and prepare and edit confidential and sensitive legal documents. Receives and sends information to and from other agencies and jurisdictions; reviews, sorts and distributes mail, telephone calls and other correspondence and accommodates walk-in clients. Balance petty cash on a weekly basis, including all online payments, making deposits and reconciling the cash box. Utilize specialized computer software, compose and create letters, memoranda, and legal documents from general direction by Attorneys, Office Manager, or as directed by the Child Support Enforcement Agent. Indexes and electronically files correspondence, pleadings, discovery, notes, memoranda, reports, and other materials according to a prescribed system for restitution, dependency, probation and child support matters. Assists attorneys with trial preparation and may attend trial. Organizes exhibits, files, and other supporting documents, coordinates trial logistics, and assists attorneys in the courtroom. Performs a wide variety of paralegal work including document preparation, maintenance of accurate and detailed records, verifying accuracy of information, researching discrepancies, and recording information. Perform other duties as business needs necessitate. Possess English proficiency and excellent grammatical and writing skills (composition, grammar, spelling and punctuation; and computerized record keeping systems). Ability to draft documents from attorney’s work sheet or notes and proofread to ensure accuracy. Ability to read and interpret detailed documents such as rules, operating and maintenance instructions, procedure manuals, and court rules and procedures. Anticipate and interpret immediate and future steps needed and act accordingly. Ability to communicate effectively in writing and verbally with people who have a variety of communication skill levels. Ability to work positively with a wide variety of individuals experiencing a wide variety of emotions. Duties include extensive file maintenance, proofreading skills, accurate tracking of documents and deadlines, attention to detail, and calendaring. Establish and maintain cooperative working relationships with attorneys, county staff, other personnel, and the public. Due to the public nature of the agency, an incumbent in this position should always comport himself/herself in an honest manner and uphold the ethical standards of the legal profession including respecting the confidential nature of information and records. Ability and skill to contribute to a positive work environment Must be able to perform a variety of keyboard functions Must be able to lift up to 25 poundsSupervisory Responsibility This position has no supervisory responsibilities. Work Environment: This is largely a sedentary role; however some filing, lifting and carrying may be required. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Physical Demands: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk or hear. The employee is frequently required to sit; stand; walk; lift; use hands to finger, handle or feel; and reach with hands and arms. Ability to lift up to 20 pounds, twist, and bend. Position Type and Expected Hours of Work: This is a full-time position. Days and hours of work are Monday through Friday, 8:00 a.m. to 5:00 p.m. There is potential to work a rotating 4/10 schedule. Travel: No travel is expected for this position except for trainings. Required Education and Experience Must have Notary Certification or be able to complete within 90 days of employment. Must be able to complete E-Filing training within 90 days of employment. High School diploma or the equivalent.Preferred Education and Experience: Minimum 1 year experience in a legal setting and/or Paralegal Certificate.Additional Eligibility Requirements: Able to complete a thorough employment and/or criminal history check and drug screen. Final candidates will be required to provide official proof of college degree and certified transcripts (not required for all positions).
