Maintenance Operations Manager

Wage: $65,000 - $80,000/year D.O.E.

Hours: Full-Time (40 +)

Employees Supervised: 2 -20

Reports to: Maintenance Dept. Manager, Business Manager

Purpose & Description:

-Position is responsible for overseeing all aspects of Landscape Maintenance operations at Landscaping position -

Central Oregon.

-Supervises Landscape Maintenance Crew Leaders and Landscape Maintenance Crew Members, procurement and

scheduled use of resources, including labor, equipment and materials to ensure maximum use and completion of

work within budgets, safety guidelines and quality standards.

-Promotes the growth and development of Landscape Maintenance Crew Leaders and Landscape Maintenance Crew

Members and assists them in carrying out their responsibilities as needed.

Responsibilities / Activities:

-Oversee all Maintenance Crew Leaders schedules to ensure proper routing, prioritization, and coordination of tasks

& requests.

-Responds to clients requests / answers questions and ensures that Maintenance Crew Leaders are being responsive

and informative with clients.

-Gathers estimate / enhancement requests from Recurring Clients and communicates them to the Client Relations

Manager for processing.

-Oversee and assists with mass communication to Recurring Landscape Maintenance service client book-of-

business, ensuring that service related letters are issued in a timely manner.

-Helps maintain client records and assists Main Office with keeping master lists up to date.

-Is directly responsible for creating site maps and schedules for Recurring Landscape Maintenance services for all

client properties.

-Supports Business Manager with in-the-field insights for new revenue and improved efficiency opportunities.

Pivotal Duties:

-Coordination of all field operations for Recurring Landscape Maintenance, ensuring highest quality standards are

maintained.

-To have a complete understanding of all contractual obligations and execute to meet such obligations.

-To ensure the efficient utilization of Landscape Maintenance Crew Leaders and other personnel, vehicles,

equipment, materials, supplies, and other resources.

-To assist with the coordination between other departments in order to maintain our service agreements.

-To help ensure the maintenance of a safe working environment and enforce all safety standards, protocols, and

regulations.

-To proactively identify potential problems within production and find resolution to minimize damage/risk or

possibly create unforeseen opportunity for gain.

-To support sales and marketing initiatives with solid production knowledge or service. Identify opportunities for

enhancements or upgrades.

-To provide and maintain excellent customer service. Maintain customers.

-Ensure all field reporting and records are completed accurately and flow effectively between field and office.

-Complete monthly Quality Control Checks on every account, via provided QC Form. Scheduled pattern of checks

via Calendar System.

Seasonal Responsibilities:

-Be willing and able to work on a snow / de icing related route in lieu of typical activities or responsibilities.

-Dispatching crew / coordinating Snow services

-Assist with estimation of Snow services for new accounts

-Outside of season, refining rotational maps and reviewing historical information to better prepare for the next

season.

Daily Responsibilities:

-Is present 30 minutes prior to Crew Leader shift start to assist with morning Operations

-Collect, process, and submit employee time cards to payroll.

-Verify Recurring Landscape Maintenance schedule and situational needs and assist as needed.

-Route incoming calls / requests to appropriate Maintenance Crew Leaders, follow up to ensure completion.

-Ensure that urgent client requests are responded to in a timely manner and handled correctly.

Weekly Responsibilities:

-Review all completed JPR entries to ensure that scheduled work was completed and is ready for invoicing by the

Main Office.

-Look ahead in the calendar system to verify workload for Maintenance Crew Leaders and availability of labor.

-Attend any meetings as requested by Management.

-Assist Maintenance Department Manager with weekly department meeting for Recurring Landscape Maintenance

team.
