Description We are offering a contract to hire employment opportunity for an Administrative Assistant in the legal industry, based in Tulsa, Oklahoma, United States. This role involves overseeing all front desk duties for a high-volume law firm. You will be handling sensitive and confidential material, including medical records, while providing administrative support to case managers and attorneys, some of whom are working remotely. The goal is to ensure the office runs smoothly and efficiently.Responsibilities Answer and direct incoming phone calls in a friendly manner Greet office visitors cordially Utilize Aderant Total Office (ATO) to quickly input data into our network Process incoming mail by scanning, naming, and importing into ATO Manage daily mailouts from ATO prepared by attorneys and case managers Send out appropriate letters in response to daily mail Mail out daily attorney representative forms to new clients Handle daily and monthly expense invoices and monthly collection letters Take invoice payments over the phone from clients Order and maintain all supplies used in the office and kitchen area Utilize strong computer skills to maintain a paperless office environment Simultaneously talk to clients while typing data into the ATO database Use software including MS Word or WordPerfect, Adobe Acrobat Pro for tracking and filing of information Answer inbound calls, provide customer service, handle data entry and email correspondence Schedule appointments as needed. Requirements Proficient in Microsoft Office Suite including Word, Excel, PowerPoint, and Outlook Proven ability to manage inbound and outbound calls in a timely and efficient manner Strong data entry skills with high attention to detail and accuracy Exceptional customer service skills with a focus on building and maintaining client relationships Experience in managing and scheduling appointments effectively Ability to handle email correspondence in a professional and timely manner Excellent interpersonal skills and ability to work well in a team-oriented legal environment Strong organizational and multitasking abilities, capable of handling multiple tasks simultaneously Demonstrated commitment to maintaining confidentiality and handling sensitive information with discretion Relevant experience in an administrative role within the legal industry would be advantageous.
