Description We are in search of a proficient Administrative Assistant to be a part of our team in Oklahoma City, Oklahoma. The role primarily involves administrative tasks such as scheduling, reporting, and maintaining confidentiality across all division matters. This role extends an opportunity for contract to hire employment.Responsibilities: Handle and record incoming correspondence, reports, forms, and memorandum. Distribute incoming correspondence to appropriate Project Heads as indicated by the nature of the information. Prepare routine correspondence as delegated by the Division Director. Prepare minutes of Division’s Advisory Committee meetings. Enter data into the Captain System. Assist in the preparation of funding source reports/grants. Manage incoming calls. Type a variety of materials and demonstrate proficiency in the use of a computer system/network. Establish and maintain files pertinent to departmental Fiscal, Personnel, and general matters. Assist clients as assigned by the Division Directors. Maintain monthly log of purchase orders utilized and funds expended. Maintain departmental procurement records system. Uphold a practice of strict confidentiality in all division matters. Attend meetings, training, etc., as directed. Perform other related duties as assigned by the Division Director. Requirements Proficient in Microsoft Office Suite including Excel, PowerPoint, Word, and Outlook Strong customer service skills and experience with handling inbound and outbound calls Excellent skills in scheduling appointments and managing calendars Ability to handle data entry tasks with high accuracy and attention to detail Experience in email correspondence and maintaining professional communication Ability to multitask, prioritize, and manage time effectively Strong organizational skills and the ability to maintain a system of record keeping Excellent written and verbal communication skills Must be able to work in a team and collaborate effectively Problem-solving skills and the ability to make decisions under pressure High attention to detail and the ability to maintain a high level of accuracy in preparing and entering information.
