You will:Play a critical role in supporting the administrative needs of our team, focusing on communication, scheduling, document preparation, and data management.Key Tasks and Responsibilities:1. Communication: Act as a liaison between the administrative team and management, providing updates and facilitating communication as necessary. Ensure timely and accurate dissemination of information to relevant parties.2. Schedule Management: Manage calendars and schedule skills mapping meetings and sessions using Microsoft Outlook. Coordinate logistics and communicate scheduling changes or updates as needed.3. Data Management and Recordkeeping: Develop and maintain spreadsheets to track skills mapping activities. Ensure data accuracy and organize information in a clear and concise manner. Utilize Talent Guard to update employee skills, proficiencies, and training records. Assist in identifying and capturing additional skills needed for mapping sessions utilizing Talent Guard. Organize and maintain electronic files and documents in Microsoft Teams or similar collaboration platforms. Ensure files are appropriately labeled and easily accessible to team members.4. Meeting Preparation: Assist in updating presentation materials and slide decks for skills mapping kickoff meetings and sessions. Collaborate with team members to incorporate relevant updates and ensure consistency in messaging.5. Survey Development: Create branching surveys using Microsoft Forms. Coordinate the distribution of surveys and reminders to SMEs and internal teams. Monitor responses and follow up on outstanding surveys.Mandatory Qualifications: Previous experience in administrative support. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams, Forms) and other relevant software applications. Strong organizational and time-management skills. Excellent communication abilities, both written and verbal. Ability to work independently and prioritize tasks effectively.
