About our Family:
We are a warm and busy family with four daughters (ages 5, 7, 10, and 12) and a playful 30 lb doodle dog. Both parents are physicians, working primarily from home with occasional long hospital days or bi-monthly travel. We’re seeking someone who can act as the operational hub of the household so we can spend more quality time with our kids. A proactive, highly organized, and detail-oriented House Manager & Family Assistant is needed to help keep our household running smoothly. An au pair provides daily childcare coverage during school hours throughout the school year, so this role is focused less on childcare and more on executive household management and family coordination.

You anticipate needs, manage logistics end-to-end, and keep household systems running efficiently. You are comfortable working with and delegating to an au pair, family members, and outside vendors, providing executive-level support on daily routines and long-term projects. You thrive in a household that values excellence and clear, direct feedback; you take pride in doing the job well and build trust through reliability. You’re neat, organized, and flexible when priorities shift—and you love systems, planning, and closing loops. Prior household/family-support experience is a plus, but what matters most is your integrity, follow-through, and desire for a respectful, long-term working relationship.
Schedule:
Core Hours: Monday–Friday, primarily midday to afternoon (4–5 hours per day)
Total Weekly Hours: 20–30, with a minimum of 20 guaranteed
Flexibility: This is a dynamic role, and flexibility is valued on both sides. While the hours are consistent week to week, the exact timing may shift slightly depending on family priorities. In return, flexibility is also offered to the candidate.
Core Responsibilities:
Household Management & Organization:
-Oversee household schedules/calendars, planning in advance
-Maintain organization systems for closets, storage, pantry, laundry, toys, etc.
-Conduct seasonal clothing, décor, and bedding swaps
-Reset and tidy rooms daily to prepare for cleaning services
-Support packing/unpacking for trips and seasonal transitions
-Coordinate with household vendors (cleaners, landscapers, handymen, pool service)
Manage Inventory & Errands:
-Track and restock pantry, fridge, toiletries, and household supplies
-Manage household shopping lists and orders (Amazon, Costco, Target, dog food, etc.)
-Run errands such as groceries, dry cleaning, returns, and gift shopping
-Handle packages, deliveries, and mail sorting
Laundry & Linen Care:
-Wash, dry, fold, and organize family laundry
-Iron/steam outfits and prepare clothing for the week as needed
-Keep laundry areas tidy and stocked with supplies
-Maintain a clean, efficient laundry system.
-Rotate bedding, refresh towels, and manage linen inventory.
Pet Care:
-Feed, walk, and care for the family dog (20-minute walks).
-Restock pet supplies as needed
Vehicle Management:
-Schedule and oversee maintenance, inspections, and car washes.
-Keep family cars fueled, stocked, and organized for kids’ activities and school runs
Property Oversight:
-Serve as liaison with vendors and contractors
-Manage seasonal maintenance (HVAC, outdoor spaces, pool, security systems).
-Support ongoing projects (e.g., backyard renovation).
-Ensure pool service visits occur as scheduled and flag any maintenance needs
Family Support & Childcare Assistance:
-Provide light supervision or backup childcare when needed
-Assist with packing kids for trips and activities
-Schedule kids’ appointments (doctor, dentist, etc.)
-Supervise kids in the pool when required
-Provide support and delegate to au pair when needed.
Executive Assistant Support:
-Plan and manage family travel planning and logistics (flights, itineraries, TSA PreCheck, Global Entry, passports, visas)
-Maintain family calendars, appointments, and registrations (sports, medical, school).
-Provide reminders to family based on calendars
-Support coordination of events, holidays, and guest prep
-Research and manage vendors, purchases, and project quotes.
-Travel with family if interested and available
Deep Cleaning & Special Projects:
-Oversee occasional deep cleans (fridge, oven, mudroom, entryway).
-Maintain appliances (humidifiers, washing machines, air purifiers).
-Lead organizational projects (clothing sizes, toy rotation, seasonal décor).
Meal Support:
-Plan and prep healthy, kid-friendly meals and snacks (2–3 times per week).
-Prepare meals weekly accommodating dietary needs and allergies (gluten-free, wheat allergy, and peanut allergy)
-Grocery shop for staples and meal prep items
-Maintaining kitchen organization
