Summary: Oversees administrative duties involved with coordinating patient and provider schedules, file management and office organization. This position includes significant amounts of multi-tasking, compassion and customer service.Essential Duties and Responsibilities: Includes but is not limited to the following:Greets patients upon arrivalProvides patients with appropriate intake forms, office policies, HIPAA information and any other legally required documentsRegisters patients by verifying and updating demographic information, accurately inputting data, obtaining insurance information and any other necessary dataAnswer multi-line phones and either direct the caller to the appropriate party or handle callers needAccurately receives messages and delivers to appropriate parties or initiates phone messages in the EMR for response by clinical staffAnswers questions about Medallus and provides callers with address, directions and other requested informationSchedules appointments by obtaining and inputting all required informationProcesses payments for co-pays, membership dues/fees, collection accounts and uninsured visitsPromotes Medallus Membership Program/Enrolls patientsClerical duties such as filing, scanning, photocopying, faxing and maintaining hard copies of patient records as well as records stored in EMRCall patients to remind them of upcoming appointments and assist in scheduling for testing or off-site servicesMaintains a clean and organized work environmentProvides patients with support and guidance as neededCare for plants/fishTriage patients based on symptomsCompetency: To perform the job successfully, an individual should demonstrate the following competencies.Strives to continuously build knowledge and skills.Responds promptly to patient needs and to requests for service and assistance.Maintains confidentiality.Listens to others without interrupting.Speaks clearly and persuasively in positive or negative situations.Listens and gets clarification.Contributes to building a positive team spirit.Looks for ways to improve and promote quality.Demonstrates accuracy and thoroughness.Works with integrity and ethically.Follows policies and procedures.Completes administrative tasks correctly and on time.Is consistently at work and on time.Follows instructions and responds to management direction.Asks for and offers help when needed.Exhibits sound and accurate judgment.Uses time efficiently.Treats others with respect and consideration regardless of their status or position.Observes safety and security procedures.Qualifications: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
