Provide compliance coordination and administrative support for the Risk Management Team. This includes significant coordination activities involving DOT/EPA/OSHA compliance documentation, training, regulatory permits/registrations, maintaining and updating databases, and creating and generating reports.
Job Responsibilities:
Maintain Risk Management EHS compliance tracking software
Set-up and maintain employees information in system.
Generate reports from the software including: training, compliance calendar, action items, permit activities, incident tracking, and behavioral safety feedback.
Work with Risk Team to insure all training is conducted and documented
To include, but not limited to: tracking employees status, class schedules, class rosters, class supplies, class certificates, and updating employee and company training records/files.
Coordinate work with outside consultants and attorneys for permit matters, environmental monitoring and regulatory issues.
Review and update compliance plans, SOP’s, and contractor compliance.
Serve as interface between Risk Management and operations/management.
Prepare permit applications/renewals, registrations and other regulatory filings.
Provide employee training and information on compliance and EHS topics.
Assist Risk Management team with communicating the company's regulatory agenda, the design and execution of regulatory initiatives, and provide support to continuously improve EHS metrics.
Maintain EHS contractor approval documents, coordination work related to the contractor/employee approval process, and create and maintain a current list of approved employees/vendors.
Track all regulatory permits, identify renewal dates, and coordination and distribution of the permit renewals. Work with the Risk Team on the activities for new permits.
Support regulatory permits and reporting that require additional tracking, scheduling, and coordination of required activities such as sampling, testing, drills/exercises, and training
Enter department purchase orders into accounting system, maintains risk department credit card reports, and reviews expense reports for accuracy.
Develop and maintain paper and electronic files of documents and records, ensuring accurate and logical organization of files; control confidentiality of files as necessary.
Work with both the EH&S Manager and the Facility Management on safety equipment and supplies options and sourcing.
Maintain company boot and safety glass programs.
Monitor PPE vending machine usage.
Monitor branch PPE overall inventory.
Support the SDS tracking for the company.
Support development and implementation of SOPs throughout the organization via templates and expanding outlines into the templates for some departments
Assist the Risk Management on projects such as policy development, plans, and SOP creation, review, and updates
Provide internal/external audit assistance to Risk Team
Complete Risk Management support tasks including: filing, copying, distribution, shredding, and appointment set up and location confirmation
Other duties as assigned by Risk Management Team
Skills, Experience, and/or Education Required:
Bachelors or Associates degree preferred
Safety and Environmental Science and/or Transportation background preferred
Proficient in English
Ability to provide administrative and coordination support
Must demonstrate initiative and confidence, looking for ways to improve the Risk Management process
Ability and flexibility to support Manager needs in multiple disciplines
Excellent organizational skills with high degree of attention to detail
Experience with high volume data entry required
Very strong knowledge of MS Office Suite (Word, Excel, PowerPoint, and Outlook)
Ability to work independently with moderate supervision with technical subject matter
A high software comfort level to allow quick understanding on new software and applications
A commitment to helping drive a safety and compliance culture in the organization
Ability to work well in a close team environment
Strong oral and written communication skills
Understand concept of continuous improvement
Ability to maintain high level of confidential information
