Receptionist/Office Support

Summary/Objective: We are seeking a dedicated and organized bilingual Receptionist/Office Support professional to join our team. This role provides general office support with clerical activities and assists the HR Generalist with administrative duties.

Essential Functions:

Answer telephones and direct callers to the appropriate associates.

Greet and direct visitors, ensuring a welcoming environment.

Take and retrieve messages for personnel and provide information about the company.

Receive, sort, and forward incoming mail; manage publications.

Coordinate express mail services (e.g., FedEx, UPS).

Assist with ordering, receiving, and distributing office supplies; maintain inventory.

Perform clerical duties such as photocopying, faxing, filing, and collating.

Maintain coffee stations, ensuring they are stocked and clean.

Support company events in setup, execution, and cleanup.

Assist the HR Generalist with filing, data entry, and record keeping.

Help prepare materials for onboarding and training.

Maintain employee records with confidentiality.

Assist in scheduling interviews and coordinating the hiring process.

Requirements:

Bilingual (English/Spanish or other languages as applicable).

Strong organizational skills with attention to detail.

Ability to multitask and prioritize effectively.

Capability to handle sensitive information with confidentiality and integrity.

Ability to resolve issues or conflicts calmly and effectively.

Work Environment: This role operates in a professional office setting, using standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.

Physical Demands: This primarily sedentary role requires the ability to lift files, open filing cabinets, and perform necessary bending or standing.
