To r epresent the Executive Office and provide support to the General Manager, Director of Rooms and Director of F&B, guests and all internal associates. To provide clerical and administrative support to the General Manager and Director of Rooms and Director of F&B, and administrative office. Responsibilities

Participates in a hands-on fashion of the total whole hotel operation.

Assemble, print, and distribute daily service recovery reports.

Answer all phone calls directed to General Manager and Director of Rooms and Director of F&B, , determine the nature of call and either handle or direct to appropriate party.

Transcribe, type, and in many cases, compose all correspondence for General Manager, Director of Rooms and Director of F&B, including memos, apology letters, monthly P & L analysis, Forecast assumptions, reports, and welcome letters. All correspondence must be error free, exhibiting the language and decorum of the profession.

Respond to all “Corporate Complaints & Alerts”, including the Elmer system. Telephone guest, identifying the route cause of the issue, composing special replies where necessary and outlining LSOP’s with Department Heads to prevent recurrence.

Issue memos outlining returning complainants and issues experienced previously.

Check resumés for arriving VIPs and ensure they are set-up properly in the computer system and rooms are cleared by a Housekeeping leader.

Print out Site Forms, process welcome cards, ensure all site guests are VIP status.

Establish and maintain filing systems (paper and electronic).

Maintains a bank of “Gift Certificates” for sale to guests and area residents.

Maintain daily trace file for meeting dates, reporting due dates, follow-up on deadlines, etc.

Maintain/update “contacts” in GM database when requested to do so.

Schedule and coordinate any meetings or events hosted by General Manager, Director of Rooms and Director of F&B.

Make reservations in Opera and Epitome for guests who directly contact the Executive Office, or who have purchased a gift certificate.

Record and handle all requests for donations; send out donation forms, and notify organization of donation decision.

Complete daily check log for the accounting function.

Maintain all telephone extension lists for the property: Update quarterly or more frequently if needed.

Aggressively seeks out projects and assignments to anticipate needs of Executive Office. Computes prompt response Access and Synergy tally reports.

Assist with completion of month end reports, and binder output.

Assigned to inspect components of the hotel operation on an as-needed basis.

Be an expert in Omni Culture and lead by example for all departments.

Assist in any special projects with the General Manager, Director of Rooms and Director of F&B.

Gather all departmental manager schedules for review and distribution each Thursday.

Partner in producing and transmitting reports on time to Corporate office each Thursday.

Attend EC and Staff meetings, preparing minutes for distribution.

Uploads monthly scorecards for MOS to corporate.

Proficient in various software programs, including Word, Excel, Delphi, Epitome, Access, Synergy, and Opera, Alice and Birchstreet.

Primary owner of Medallia alerts and customer feedback system.

Participates with operational needs in departments when needed.

Qualifications

Candidates must have relevant hospitality and/or customer service/administrative experience; Executive Assistant experience is preferred.

Must be service and detail oriented; possessing a friendly approachable demeanor and strong problem-solving skills.

Excellent verbal and written communication skills, service skills and computer proficiency are required.
