Description of WorkThis position with NCDOT offers fullState Benefits (https://oshr.nc.gov/state-employee-resources/benefits) , competitive salaries and many career development opportunities. Pending OSHR ApprovalThis position will serve as the receptionist to the Division Headquarters and will provide secretarial duties as assigned. This individual will greet the public, visitors, other DOT employees, vendors and contractors and must be able to communicate in a professional manner. This individual must be able to be flexible in constant changes. This individual will answer a multi-line telephone system, process information, and maintain various records and reports including phone bills, vehicle assignments, vehicle log reports, filing, and other duties as assigned. This person maintains phones, faxes and copier and will also distribute mail. The position will perform a variety of office assistant tasks in support of administrative, program, or technical operations. Functions include a diversity of records, reports, and filing activities, public contact, answering telephone, directing calls to appropriate person, and taking messages. Good communication skills are necessary. Position may assist with processing payroll, inventory, purchase orders, and accounts payable through SAP; personnel and other office duties such as typing correspondence, filing, and handling of incoming and outgoing mail. Must have knowledge and use of office equipment and related computer technology (Microsoft Windows, Excel, Access, PowerPoint, and SAP). Knowledge, Skills and Abilities / CompetenciesApplicants must submit an application that clearly reflects work experience that demonstrates the following:

Customer service experience, including resolving customer issues.

Experience with Microsoft Office using programs such as Access, Word, and Excel.

Experience completing and/or maintaining records and reports.

Experience interpreting and/or explaining policies, procedures, and laws.

Experience in record keeping.

Ability to accurately use computer, calculator, copier, fax machine, etc. Ability to work independently and maintain and organize records. Ability to accurately use Microsoft Office products. Ability to accurately perform math calculations. Ability to communicate and respond to all inquiries and instructions to ensure positive public and employee relations including problem telephone calls. Ability to be courteous and apply tact in performing contact and communications that may be sensitive in nature. Ability to be resourceful in gathering and giving program information and ability to schedule and coordinate a variety of work at the same time. Ability to learn and independently apply laws, departmental rules, and regulations in performance of assigned duties. Applicants with SAP R/3 experience will be given preference.
