The successful candidates will be responsible for assisting the Coordinator of Communication Services in the daily operation of the Mail Room. Responsible for incoming and outgoing US mail, packages, internal mail and package deliveries to the Campusc ommunity. Cross training required of Copy Center functions to assist as needed.Location Utica, NY Application Deadline 07/01/2024 Full consideration by: Open Until Filled Yes Major Responsibilities Provides essential service for the University and its various constituencies by operating main switchboard to receive incoming calls and routing calls to the appropriate department or individual.Promotes a positive, service-oriented image of the University and the department by providing information when appropriate and referring other questions to the proper office or person in a courteous and professional manner.Receives, sorts, processes and accurately distributes US mail, internal mail and all UPS , FedEx etc. packages to faculty, staff and residential students. Scans in all packages into QTrak tracking system. Maintains QTrak database and chain of custody for all packages.Maintains the postage meter database, postage, supplies and software updates.Processes all outgoing mail through USPS postage meter.Researches and maintains updated information on US Postal Regulations to ensure compliance in all areas.Trains student workers in customer service and office operations.Maintains confidentiality of all items received in the mailroom.Distributes paychecks securely and confidentially.Cross trains as needed in the Copy Center.Fills in for Copy Center Specialist during their absence or vacation.Works with supervisor to develop specific goals that support Utica University’s operational plans. This is done at least annually through the annual performance evaluation process, however review of goals will occur throughout the year.Responsible for working with supervisor and other team members to achieve successful results on all established individual and departmental goals and key performance indicatorsAssists in training student workers in Copy Center and Mailroom operations.Other duties as assigned.Driving Responsibilities Travel N/ASupervises N/A Education & Experience Qualifications Associate degree preferred. Customer service experience required.Minimum Skills/Abilities
Must be able to work quickly and efficiently to meet stringent deadlines.
Must demonstrate excellent organizational skills
Strong oral communication skills are required with excellent interpersonal skills.
Clerical aptitude, accuracy and attention to detail are required.
Proven record of strong customer service skills are required.
Must be able to lift fifty pounds on a regular basis in handling and delivering of packages.
