Job Description:

We are seeking a dedicated and organized Secretary/Administrative Assistant to join our roofing company. The ideal candidate will be responsible for efficiently managing office operations, handling administrative tasks, and providing exceptional support to various departments within the company.

Responsibilities:

Answering Phones: Serve as the primary point of contact for incoming calls, providing excellent customer service and directing inquiries to the appropriate personnel.

Permit Processing: Assist in pulling permits required for roofing projects, ensuring all necessary documentation is completed accurately and in a timely manner.

Email Management: Monitor and respond to company emails promptly, prioritizing urgent matters and forwarding relevant messages to the appropriate team members.

Accounts Payable: Manage bill payments and vendor invoices, ensuring all financial transactions are processed accurately and on time.

Assisting Estimators: Support estimators by organizing project files, scheduling appointments, and preparing necessary documentation for client meetings.

Invoicing: Process customer invoices using QuickBooks or similar accounting software, accurately recording project details and payment information.

Customer Data Entry: Enter customer information into the company database, ensuring all records are up-to-date and accurately maintained.

Lead Assignment: Assist in assigning leads to sales representatives, maintaining organized records of leads and tracking their progress through the sales pipeline.

Office Maintenance: Keep the office environment clean and organized, including light cleaning duties such as tidying up common areas and ensuring supplies are well-stocked.

Requirements:

Previous experience in a similar administrative role preferred.

Proficiency in QuickBooks and working with a Macbook.

Excellent communication and interpersonal skills.

Strong organizational and time-management abilities.

Ability to multitask and prioritize tasks effectively in a fast-paced environment.

Attention to detail and accuracy in all work.

Knowledge of roofing industry terminology and processes is a plus, but not required.
