Description Referral Coordination
Process incoming referral requests from healthcare providers, patients, or other partners in a timely and accurate manner.
Communicate and collaborate with medical providers, specialists, and external facilities to schedule patient appointments.
Ensure referral documentation is completed and submitted to relevant parties according to organizational procedures.
Administrative Tasks
Maintain and update referral tracking systems to record the status of all open and pending referrals.
Verify insurance eligibility and pre-authorization requirements prior to scheduling appointments.
Manage communication via phone, email, or other systems with all stakeholders involved in the referral process.
Patient Interaction
Provide patients with updates on the status of their referrals and answer any questions related to the process.
Offer ongoing support to help patients navigate insurance concerns or other obstacles to care.
Compliance
Adhere to federal, state, and organizational policies pertaining to patient privacy, confidentiality, and referrals (e.g., HIPAA guidelines).
Regularly audit referral records for completeness and accuracy, resolving discrepancies as needed.
Team Collaboration
Work effectively with clinical and administrative teams to support continuity of care for patients.
Participate in departmental meetings and feedback sessions to identify areas for improvement in referral operations.
Requirements
Experience:
Minimum of 2 years in a healthcare, administrative, or customer service role.
Prior experience in referral coordination or medical office management is highly preferred.
Education:
High school diploma or equivalent required; associate or bachelor’s degree in healthcare administration, business, or related field preferred.
Skills and Expertise:
Strong knowledge of HIPAA regulations and understanding of insurance pre-authorization processes.
Proficiency in using medical record systems (e.g., EPIC, Cerner, or similar systems) and scheduling tools.
Excellent communication and customer service skills to engage with diverse patient populations, providers, and external organizations.
Ability to multitask efficiently in a fast-paced environment with high attention to detail.
