The human resources team is responsible for identifying, creating, and implementing strategic initiatives and systems that maximize the effectiveness of The Strong’s most valuable resource- museum staff, volunteers, and interns. The HR coordinator supports all HR functions and works closely with the director of HR to respond to all inquiries in a timely manner and exemplify the guest service values and standards representative of The Strong. This position is responsible for facilitating the recruitment efforts for all frontline positions, providing day-to-day administration of the benefits program, coordinating the volunteer and internship programs, and completing routine administrative functions. This position requires excellent communication skills, strong attention to detail, and a high level of diplomacy, discretion, and professionalism. Essential Duties:

Provide administrative and technical support to the HR team including correspondence, record keeping, file maintenance, HRIS database management, mailing, copying, billing reconciliation, and ordering supplies.

Facilitate recruitment efforts to meet frontline staffing needs, including, but not limited to, soliciting team hiring needs in advance of hiring efforts, posting available positions, and screening and hiring candidates.

Support the recruitment efforts, including the pre-employment and onboarding processes, for all positions as needed and directed by HR team members.

Maintain employee personnel files and related documents in compliance with museum policies and state and federal recordkeeping requirements.

Assist with the employee offboarding process.

Field and respond to all volunteer and intern inquiries and applications. Consult with hiring managers to place volunteers and interns in appropriate roles based on skills/interests and availability.

Respond to routine HR inquiries, such as employment verification requests, in accordance with museum policies as applicable.

Manage the day-to-day administration of the museum’s benefit programs. Facilitate routine correspondence with the museum’s broker and insurance carriers. Complete the monthly benefits billing reconciliation and submit approved invoices to finance for payment. Assist the director of HR with delivering the annual open enrollment period.

Prepare, transmit, and reconcile the monthly retiree benefits invoices.

Coordinate with museum teams to ensure required employee licensing and training is current and valid and maintain all related documentation.

Provide staff training as needed and as requested on the time and attendance system

Fulfill requests for reports related to employment data.

Assist with explaining the museum’s personnel policies, benefits, and procedures, as appropriate.

Conduct routine check-in interviews as part of the museum’s retention efforts.

Along with the director of HR, plan and execute the annual staff service awards and volunteer recognition event.

Ensure the integrity of all HR data by conducting periodic audits.

Maintain physical and electronic staff bulletin boards, ensuring that all federal and state mandated employment communications are kept up-to-date and in compliance.

Attend relevant seminars and conferences to stay current on topics concerning the HR function.

Minimum Qualifications:

Bachelor's degree in business administration, human resources management, or closely related field.

1-2 years of professional HR or similar experience.

Experience with recruitment, selection, and onboarding.

Strong ability to be proactive with excellent follow up skills.

Collaborative with the ability maintain effective interpersonal relationships.

Self-starter with the ability to remain flexible, resourceful, and highly organized to effectively handle several projects at once.

Proficiency with Microsoft Office programs, especially Excel.

Ability to quickly and effectively learn the human resource information system (HRIS) and similar computer applications.

Excellent communication skills, a high degree of diplomacy and maturity, and ability to balance empathy and objectivity.

Detail-oriented to ensure all communications and documentation contain appropriate and accurate information.

Ability to understand the implications of an evolving HR landscape for both current and future problem-solving and decision-making.

Experience with employee benefits administration is a plus.

Final candidate must consent to and pass a drug screen and background check as conditions of employment.
