POSITION SUMMARY The Youth ACT (Assertive Community Treatment) Program Assistant position is responsible for the administrative tasks of the program including: greeting clients and family members at the program site, assisting callers in accessing Youth ACT resources, managing referral lists and other program data. The Program Assistant will coordinate with team members to ensure that the program functions smoothly and is able to efficiently meet the needs of clients and families. ESSENTIAL DUTIES AND RESPONSIBILITIES

Engage with all callers on a daily bases with a kind, caring, and positive attitude and triage callers to the Youth ACT program to the appropriate staff.

Demonstrate ability to provide excellent customer service, crisis management and de-escalation techniques to clients and families who need support during business hours.

Manage the referral, intake, treatment, and discharge process for the Youth ACT program on a daily basis

Contact potential specialized program participants to review the structure of program and client and family needs.

Schedule all necessary appointments by working collaboratively with the treatment team.

Assist the Team Lead with auditing documentation for accuracy and completion; responsible for completing monthly audits on Medicaid, Psyckes, and ECR to ensure program standards are being upheld.

Compile specialized program data to track any program required data, which could include but not limited to client demographics, referral source, number of sessions per week, number of hours per session, critical events such as hospitalization and outcome.

Ensure that all appointments are correctly scheduled for program and monthly billing/reporting is on track and compliant with program and Office of Mental Health standards.

Demonstrate proficiency in the electronic record keeping system through written progress notes, locating documentation, running reports, and completing billing needs in a timely manner including maintaining accounting and billing records for recipient and program expenditures.

Maintain and research local community services and supports to educate and provide to service team and service recipient

Collaborate with service providers and families to support transition of services and treatment needs

Work alongside the medication prescriber in managing medication needs, refills, and collaboration with other medical providers.

Maintain and support each programs on call schedule.

Assist with the onboarding of Behavioral Health Division staff to ensure all supplies, sign on, and systems are set up for new staff.

Maintain email distribution lists specific to Behavioral Health Division and manage general office needs duties, supply ordering.

EDUCATION and/or EXPERIENCE

Requires an Associate’s degree (Bachelors preferred)

Three years of related experience
