ILVE USA, a leading provider of high-end appliances, is seeking a highly organized and versatile Business Operations Assistant to support our dynamic team. This role is crucial for ensuring the seamless integration and efficiency of our sales, customer service, dealer, and distributor operations. The successful candidate will be a central figure in organizing, coordinating, and enhancing various business processes, contributing significantly to our company's success.

Key Responsibilities:

Administrative Support: Assist in the day-to-day operations of the business by providing comprehensive administrative support. This includes scheduling meetings, managing correspondence, and maintaining files and records.

Sales and Customer Service Coordination: Support the sales and customer service teams by managing schedules, coordinating with dealers and distributors, and ensuring that all inquiries and issues are addressed promptly and efficiently.

Process Improvement: Identify opportunities for process improvement within the company. Work closely with various departments to streamline operations and increase efficiency.

Data Management: Assist in managing databases and spreadsheets related to sales, customer interactions, dealer activities, and distributor information. Ensure accuracy and up-to-dateness of all data.

Event and Meeting Coordination: Organize and coordinate internal and external meetings, including dealer and distributor meetings, training sessions, and trade shows. Handle logistics, such as venue booking, equipment setup, and materials preparation.

Project Assistance: Provide support on various projects across the company, ensuring that tasks are completed within timelines and objectives are achieved.

Cross-Functional Support: Serve as a liaison between departments to facilitate communication and collaboration. Assist in resolving any operational issues that arise, ensuring smooth business operations.

Qualifications:

Associate or Bachelor’s degree in Business Administration, Management, or related field.

Proven experience in an assistant role, preferably within a sales, customer service, or operations environment.

Exceptional organizational and multitasking skills, with the ability to prioritize tasks in a fast-paced environment.

Strong communication skills, both written and verbal, with the ability to interact effectively across all levels of the organization.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with CRM and data management software.

Detail-oriented with a proactive approach to problem-solving.

Ability to work independently as well as part of a team.

Willingness to learn and adapt to new challenges and responsibilities.
