Leading Alternative Investment Firm in Midtown Manhattan is seeking a new Full-Time/Permanent Executive Assistant to help support (15) members of the US Credit team on the Trading Floor. This person will be working alongside 10 other EAs on the trading floor (they all back up one another!), so this is a very collaborative, teamwork-oriented environment. Candidates must have a minimum of 3-5+ years of applicable high-level executive administrative support experience, ideally working in financial services, and a Bachelor’s degree is required. This person must be exceedingly organized, a multitasker, team player who can also work independently with little or no supervision.The ability to interact with colleagues at all levels in a fast-paced environment, often under pressure, while remaining flexible, proactive, resourceful, and efficient, with high level of professionalism and confidentiality, is crucial to succeeding in this role. Exceptional communication skills, strong decision-making ability and attention to detail are equally important.This is a great firm with GORGEOUS offices and great perks!

Hours are 9:00am-6:00pm, with flexibility as needed. Hybrid work schedule (4 days in office / 1 day remote).

Responsibilities:

Provide high-level executive administrative support to (15) members of the US Credit team on the Trading Floor, working alongside 10 other EAs (they all back up one another!).

Schedule and organize extensive internal and external meetings, conference/video calls, and appointments across various time zones; manage and maintain busy and ever-changing calendars.

Set up and break down conference room meetings with meals and refreshments.

Coordinate complex domestic and international travelarrangements and detailed itineraries, including flights, hotel accommodations, car services/ground transportation, dining reservations, etc.

Prepare, process, and submit expense reports using Concur.

Maintain various spreadsheets for the department.

Work closely with the other EAs throughout the different offices.

Interact with clients, vendors, and service providers.

Assist with other projects and responsibilities at the team’s discretion.

Provide phone coverage; screen and answer a high volume of incoming calls.

Requirements/Qualifications:

Minimum 3-5+ years of applicable high-level executive administrative support experience, ideally working in financial services.

A Bachelor’s degree is required.

Extremely organized and detail oriented.

Team player who can also work independently with little or no supervision; good at multi-tasking.

Ability to interact with all levels in a fast-paced environment, often under pressure, while remaining flexible.

Proactive, resourceful, and efficient.

High level of professionalism and confidentiality.
