Billion-Dollar Private Equity Firm in Midtown Manhattan is seeking a new Full-Time/Permanent Executive Assistant to support a Partner. Candidates MUST have 5-10+ years of applicable high-level executive administrative support experience working in Investor Relations at a hedge fund or private equity firm (both required) and a Bachelor’s degree is also required. Experience with event planning is a huge plus! Candidates must be extremely personable, high-energy, polished, organized, extremely detail oriented, proactive, great a multi-tasking, accustomed to working in a fast-paced environment, and possess excellent communication skills, follow through, a sense of urgency, and a team-oriented mentality. Hours are 9:00am-6:00pm, with flexibility. In office either 4/1 or a combination of 3/2 one week and 5 days the next week (need to be ok with either scenario).

Responsibilities:

Provide high-level executive administrative support to Partner with light support for her team of 2-4 others.

Schedule and organize extensive internal and external meetings, conference/video calls, conferences, events and appointments; create agendas and prepare and distribute meeting materials; manage and maintain busy and ever-changing calendars.

Coordinate complex domestic and international travel arrangements and detailed itineraries, including flights, hotel accommodations, car services/ground transportation, dining reservations, etc. Potential travel to on-site annual meeting (5 days).

Prepare, process, and submit expense reports.

Liaise with high-profile investors.

Assist with ad hoc project/event coordination.

Requirements/Qualifications:

Minimum 5-10+ years of applicable high-level executive administrative experience working in Investor Relations at a hedge fund or private equity firm (both required).

A Bachelor’s degree is required.

Experience with event coordination, a plus.

Accustomed to working in a fast-paced environment with constantly moving pieces.

Excellent interpersonal and communication skills (both verbal and written); high-energy.

Polished and professional.

Proactive with excellent follow through.

Extremely organized and detail oriented.

Strong MS Office Suite skills.

Team-player mentality.

Flexibility to travel.
