Well-Known Global Investment Management Firm in Midtown Manhattan is seeking a new Full-Time/Permanent Executive Assistant to support its Credit Team. This is a newly created role/add to staff! Candidates must have a minimum of 4-7+ years of applicable experience supporting a team within financial services (a major plus) and a Bachelor’s degree is required. They should be polished, professional, eager, ambitious, smart, outgoing, competent, curious, moldable, confident, and possess a desire to learn and excellent interpersonal and communication skills (both verbal and written). Hours are 8:00am-5:00pm, with flexibility as needed. 5 days in-office.
Responsibilities:
Schedule and organize extensive internal and external meetings, conference/video calls, and appointments, including managing detailed Microsoft Outlook diary, sending out meeting invitations and updates, booking conference rooms, welcoming guests, setting up dial-ins/Zooms as necessary, etc.; assist with conference registration if necessary; manage and maintain busy and ever-changing calendars.
Screen, answer, and direct incoming phone calls; take detailed messages; draft, type, and edit emails and correspondence.
Coordinate end-to-end travel arrangements and detailed itineraries, with the help of a firm travel consultant, including following firm processes to seek approval for travel, doing flight cost comparisons, sourcing hotels, etc.
Prepare, process, and submit expense reports using firm’s expense system; track and enter expenses from travel and meals.
Support the team’s Head of Business Development with administrative & communications support, data management, inquiry handling, presentations, help coordinate timely investor response and communication, and other ad hoc requests.
Responsible for general ad hoc administrative duties as requested, including printing, preparing, and formatting documents.
Requirements/Qualifications:
Minimum 4-7+ years of applicable experience supporting a team within financial services (a major plus).
Bachelor’s degree is required.
Strong Microsoft Office Suite skills. Goodworking knowledge of Microsoft Outlook tomaintain scheduling and organizing meeting times for multiple users. Proficient Excel skills.
Strong attention to detail and accuracy.
Must be able to prioritize tasks and adapt to varying preferences tosuccessfully support multiple individuals simultaneously.
Strong time management, prioritization, organizational, interpersonal, verbal, and written communication skills.
Excellent phone manner and email etiquette.
Ability to work independently, take initiative, and manage multiple tasks simultaneously in a fast-paced environment.
