Nonprofit publisher located in Wall Street area in Manhattan, is seeking to hire a Temp Executive Assistant and Receptionist to support the organization's Executive Director and manage the day - to - day operations of the office. Position is hybrid, Monday and Friday remote, Tuesday - Thursday onsite. Hours are 9:30am - 5:30pm. Need minimum two week commitment to temp assignment.Responsibilities: Executive Assistant dutiesProvides support to the Executive Director in all areas of organizational management, including scheduling, making reservations, booking travel, preparing meeting materials, mailing books, etc.General administrative tasks include but are not limited to handling email and print correspondence, and phone calls and messages; photocopying, database upkeep, and filing; general administrative work, including arranging payment of occasional bills and monthly submission of American Express receipts, ordering books, etc.Tech support of the Executive Director.Meeting prep and cleanup for lunches, board meetings, special events.Other administrative and support activities as required.Receptionist dutiesAnswers incoming calls and directs them to appropriate staff; as well as organizes phone coverage.Responsible for overseeing the effective administration of the physical plant and maintaining the organized and orderly appearance of the entire office, specifically ensuring that the front office, conference rooms are neat and tidy, as wells as daily unloading of dishwasher, wiping counters/surfaces and weekly emptying of fridge, etc.Helps organize staff events.Responsible for overseeing the Book Room and for placing the weekly book order for all staff, including academic marketing.Responsible for arranging occasional food and refreshments for staff meetings, including presentation and hospitality for guests.Assists with the supervision and scheduling of interns and monitors attendance.Responsible for troubleshooting/ placing service calls for office equipment (copiers, postage meter, phones, AC unit, fax machine, etc.).Oversees mailing services operations; receives, sorts, and distributes mail.Updates and circulates holiday closings and staff contact list.Other responsibilities to be determined.Maintains/oversees purchase of office and kitchen supplies, etc.Qualifications: 1+ years administrative experience in a corporate settingBA requiredStrong calendar managementExceptional organizational skills, diplomacy, pro-activeness and initiative, and a high energy level.An ability to juggle multiple projects, provide status updates, and (with time) anticipate needs.A propensity to meet deadlines.Ample experience with MS Office (including Excel) and a general facility with digital/tech matters.Compensation:$28 - $32/hour pay rate DOEBeacon Hill is an Equal Opportunity Employer that values the strength diversity brings to the workplace.
