HEINI is an NYC-based construction company specializing in the development, design, fabrication, and installation of temporary environments, permanent architecture, and general contracting. We service high-profile NYC and national clients.
Position Overview: We are seeking an organized and proactive Administrative Assistant & Studio Manager to support administrative tasks for the owners and ensure the efficient management of our home and studio space. We are a relatively new company and need support in developing and implementing processes to support growth.
Responsibilities:
- Provide comprehensive administrative support to a family of five, including managing inboxes, scheduling appointments, and organizing meetings
- Maintain and organize physical and digital filing systems, ensuring easy access to important documents and records
- Handle incoming finance mail, organizing bills, invoices, and financial documents for processing
- Oversee the maintenance of our home studio, including the materials library and equipment inventory
- Manage office supplies and inventory, ordering supplies as needed to maintain a functional work environment
- Act as a liaison between owners and external contacts, ensuring clear communication and timely follow-up on inquiries
- Follow and maintain working procedures that document the process for all of the jobs to be completed
Qualifications:
Previous experience in an administrative role (not required but preferred)
- Very strong organizational skills with keen attention to detail (Required, must be demonstrated in interview)
- Must have a bachelor degree
- Must be able to make sense of organizational systems and create order both collaboratively and independently / recommend new ways of doing things with approval and collaboration
- Strong communication abilities, both written and verbal
- Understanding of mac programs and Google Drive / suite, slack (not required but preferred and notion (also not required but preferred), apple calendar
- Must be willing to use slack (required) and notes (preferred but not required)
- Ability to multitask and prioritize tasks effectively / must be able to pivot to accommodate new developments
- Must be open to tasks above and below experience level
- Resourcefulness and the ability to problem-solve independently
- A positive attitude and willingness to contribute to a collaborative team environment
- Must understand that the role will cross both family and professional responsibilities and not be intimidated by a big family dynamic
