A growing and dynamic Private Equity/Investment Firm in Midtown Manhattan is seeking an experienced Administrative Assistant to help support (7) members of the Investor Relations (IR) team. Candidates must have 2-5+ years of applicable administrative experience working in a fast-paced, corporate environment (ideally within financial services) and a Bachelor’s degree is required/strongly preferred. Ideal candidates should be extremely professional, polished, organized, detail-oriented, and possess a proactive team mentality and possess excellent calendar management skills. This is a great place to work with little to no turnover!

Salary depends on experience (80-120k base) plus discretionary year-end bonus, 100% company paid benefits for employee (medical/dental/disability/etc.), 401k, free gym in building, etc.

Hours are 8:30am-5:30pm (with some flexibility as needed).

Responsibilities:

Schedule and organize extensive internal and external meetings, conference/video calls, and appointments across various time zones; manage and maintain busy and ever-changing calendars.

Plan and coordinate complex domestic and international travelarrangements and detailed itineraries.

Prepare, process, and submit expense reports using Concur.

Maintain various spreadsheets for the department.

Work closely with the Receptionist/EAs in office.

Interact with existing and future investors in a professional manner.

Assist with other projects and responsibilities at the team’s discretion.

Print and bind large amounts of marketing materials.

Provide back-up support to the Administrative Team as needed.

Assist with ad hoc projects, including event planning.

Requirements/Qualifications:

Minimum 2-5+ years of applicable administrative experience working in a corporate environment, ideally within financial services.

A Bachelor’s degree is required/strongly preferred.

Detail-oriented and organized.

Excellent interpersonal and communication skills (both verbal and written).

Desire to go above and beyond for all required tasks.

Proven ability to multi-task and effectively prioritize.

Proactive and assertive, with the ability to think quickly on their feet.

Strong proficiency in Google Workspace and Microsoft Office Suite.

Working knowledge of office equipment, such as printers, copiers, and video-conference devices.

Positive attitude with the ability to problem-solve.

Polished, professional, and team oriented.
