Position Overview:
We are seeking a highly skilled, proactive, and resilient Executive and Personal Assistant to provide exceptional executive and personal support to the Executive Director of a dynamic nonprofit organization in New York City. The ideal candidate will have an iron-fisted approach when needed, alongside the diplomatic sensitivity to handle complex, high-pressure situations. This role requires someone who can handle not only administrative duties but also manage personal requests, navigate sensitive issues, and clean up any messes that arise, all while maintaining confidentiality and professionalism.
Key Responsibilities:
- Executive Support:
- Provide comprehensive administrative support to the Executive Director (ED), including managing schedules, meetings, and correspondence.
- Screen and prioritize incoming communication (calls, emails, and messages), responding or redirecting as necessary.
- Organize and coordinate travel arrangements, events, and conferences for the ED, ensuring logistical details are meticulously handled.
- Act as a liaison between the ED and key internal and external stakeholders, ensuring effective communication and follow-through.
- Prepare and edit documents, reports, and presentations for the ED, ensuring high-quality output and attention to detail.
- Personal Support:
- Handle personal appointments and scheduling for the ED, including family and personal matters, with discretion.
- Manage personal errands and tasks as required, maintaining a balance between professional responsibilities and personal life.
- Assist with household management, coordinating domestic help, and ensuring the ED’s home environment is organized and well-maintained.
-Problem Solving & Crisis Management:
- Tackle complex, high-stakes issues with an iron-fisted approach, making tough decisions and ensuring that the ED’s interests are protected and upheld.
- Navigate and manage sensitive and confidential situations with diplomacy and tact, especially when addressing internal or external challenges.
-Clean up the mess: Proactively resolve any administrative, professional, or personal issues, helping to manage fallout and mitigate damage to the ED's reputation or time.
Organizational Support:
- Manage and track ongoing projects, ensuring deadlines are met and objectives are achieved in alignment with the ED’s priorities.
- Develop and implement efficient systems and processes to streamline operations for the ED, making both professional and personal activities as seamless as possible.
Special Projects:
- Support the ED in planning and executing special initiatives or projects as they arise, sometimes requiring strategic thinking, research, or coordination of external partners.
- Take on additional ad hoc responsibilities as needed, demonstrating flexibility and a problem-solving mindset.
Skills & Qualifications:
- Proven experience as an Executive Assistant, Personal Assistant, or similar role supporting senior executives, preferably in a nonprofit, corporate, or fast-paced environment.
- Strong organizational skills and the ability to prioritize multiple tasks, handle tight deadlines, and maintain a high level of attention to detail.
- Exceptional communication skills, both written and verbal, with the ability to interact with diverse stakeholders and handle confidential information with discretion.
- Problem-solving capabilities: Ability to assess situations, make quick decisions, and take ownership of complex or sensitive issues.
- High emotional intelligence: Ability to read people, manage difficult personalities, and navigate delicate matters with tact and diplomacy.
- Comfortable working in an unpredictable environment, where priorities may shift rapidly.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with project management tools.
- A high degree of professionalism, discretion, and trustworthiness.
- Ability to work independently, take initiative, and handle matters without constant supervision.
Preferred:
- Experience in a nonprofit environment is a plus, especially in supporting an Executive Director or C-suite level executive.
- Familiarity with event planning, travel coordination, and personal management.
