We are seeking a hard working, detail-oriented Administrative Assistant to join our private therapy practice. The ideal candidate will provide administrative support and ensure efficient operations in a fast-paced office environment. This position is a bit of a jack-of-all-trades job, with administrative aspects involving billing, marketing, HR, insurance, office management, HIPAA compliance, and providing back-up to other employees. We are looking for someone with a great attitude who excels in organizational and administrative tasks.

Administrative Duties:

Processing billing and financial tasks, including handling electronic and physical statements, sorting mail, depositing checks, and managing digital cards.

Assisting with marketing activities such as distributing profiles, updating websites, creating promotional materials, managing social media content, and monitoring/optimizing advertising campaigns.

Monitoring and managing the administrative inbox for communication with clients and team members. Answering questions regarding practices and policies.

Covering for colleagues during their absence.

Ensuring compliance with HIPAA regulations by tracking certification renewals, reporting breaches, and managing records requests.

Handling miscellaneous tasks including auditing timesheets, managing office supplies, scheduling, compliance, tracking certifications, and providing policy information.

Assisting with insurance audits when they come up.

Participating in regular team meetings and coordinating with other team members.

Requirements:

- Proven experience in an administrative role.

- Excellent communication skills and customer service skills, both verbal written.

- Strong organizational skills with the ability to multitask and prioritize tasks effectively

- Familiarity with computerized systems for data entry and record keeping

- Ability to go into our New York office at least once a week.

Preferences:

- Familiarity with the LGBTQ community or passion for helping this community.
