The Opportunity:
A global insurance defense firm located in lower Manhattan seeks an experienced Legal Secretary on a long-term, temporary basis. The schedule is hybrid (three days in the office, two days remote). The hourly rate is $25 - $30, plus benefits.
Primary Duties:
The Legal Secretary will possess strong organizational skills and a solid understanding of legal procedures, particularly in the context of litigation and insurance defense. The Legal Secretary will handle file/data management, case lists, calendars, e-filings, motion practice, exhibits, discovery, and budgets. Additional duties include:
Provide secretarial and administrative support to attorneys and staff
Handle file and data management, including organizing and maintaining legal records
Assist with motion practice, exhibits, discovery, and legal budgets
Draft, redline, and prepare legal documents, including discovery pleadings.
Manage and respond to emails on behalf of multiple attorneys.
Manage and prioritize a high volume of emails and correspondence.
E-file federal and state motions (experience with NY courts required, NJ experience a plus).
Maintain calendars and schedules for attorneys and staff.
Handle client reception, phone inquiries, and communication.
Sort and distribute incoming mail and packages.
Order and manage office supplies and inventory.
Prepare and coordinate legal correspondence and reports.
Perform other administrative tasks as needed to support the team.
Requirements:
2-5 years of legal secretarial or administrative support experience in a defense law firm or corporate legal department.
Strong typing skills, both fast and accurate.
Prior knowledge and exposure to litigation procedures and processes.
Experience with insurance subrogation is highly desirable.
Prior e-filing experience for federal and state motions (NY courts experience is required, NJ is a plus).
Proficiency in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint).
Experience with legal management programs such as iManage and billing software.
Excellent oral and written communication skills.

Professional and courteous demeanor with strong client service skills.
Ability to work independently and meet deadlines in a fast-paced environment.
