Responsibilities Responsibilities may include but are not limited to:

Setting up a high-volume number of meetings for Executive Director/Directors/Project Managers and staff as required.

Provide secretarial and related administrative support for the Chief Program Officer - Special Projects/ESA

Assist with the preparation of presentations.

Must be able to process project invoicing and maintain project log.

Keep accurate attendance records and maintain an up-to-date filing system.

Keep inventory and order supplies for the department.

Perform typing assignments consisting of memorandums, letters, minutes of meetings, and miscellaneous forms.

Perform other clerical duties as well as assist the Manager-Administration with other central administration duties as assigned including but not limited to, sick/vacation/comp requests, building access requests, process travel forms, education expenses, employee training requests, and business card order/name plate orders.

Qualifications

A four-year high school diploma or its educational equivalent (GED or TASC) approved by a State's Department of Education or recognized accredited organization.

At least 3 years administrative/clerical experience including but not limited to timekeeping, ordering of supplies, data entry and reporting.

Must be a qualified typist (at least 45 WPM) and have a thorough knowledge of grammar, punctuation and spelling.

Must handle telephone activity in a professional and courteous fashion including accepting and issuing messages.

Must be adept at handling multiple personalities while keeping a professional demeanor.

Must be able to effectively coordinate and prioritize work; be efficient in determining the correct routing of all incoming/outgoing correspondences.

Must be proficient in Microsoft Suite (Word, Outlook, Excel, PowerPoint), BSC orders (Staples), PeopleSoft, and CTAMS.

Strong oral and written communication skills will also be required.

Must be willing to assume re sponsibility and work with minimum supervision.

Must be willing to cover the position of Manager - Administration to the Chief Program Officer - Special Projects/ESA when required.

Other Information:

In addition to meeting the minimum requirements of the position, the selection process may include but is not limited to, a pre-screening assessment (i.e., physical, written, and/ or practical evaluation) and interview. Candidates forfeit further consideration in the process if they fail to participate in any step of the process when scheduled. Make-up dates/times will not be given.
