Position Summary:

The Community Synagogue in Port Washington, NY is seeking an experienced Administrative Assistant. Our congregation is thriving and growing and currently consists of over 800 families. We have an exciting opportunity to join our team.

The Administrative Assistant is our first face, or voice, to greet our members and the key position in our customer service program. The Administrative Assistant will be responsible for providing a wide variety of administrative support; control of our building access program, answer office phones, create and maintain various reports, enter data into the management data base, sort mail, fax, filing, and other related administrative duties for the business office and maintenance department.

Job Responsibilities:

 Reception/Public Contact: Meets and greets members in person and on the phone or online, resolves routine and non-routine situations based on established policies and procedures and refers non solved issues and questions to the appropriate party.

 Administrative Support: Provides administrative support for the business office, and the maintenance department, and improve the work flow level and efficiency.

 Word Processing/Typing: Independently respond to and compose correspondence. Types and proofreads memos and reports.

 Reports: Gathers data and information from various sources, prepares reports based on information compiled, responds to requests for information; summarizes database on information compiled from various sources.

 Filing/Mail Distribution: Develops filing systems, internal mailing processes and procedures.

 Clerical Support: Performs general clerical duties (photocopy, fax, mails, supply management and ordering, and filing, ect.) as needed.

 Reports directly to the Officer Manager.

 Performs other duties as assigned.

Minimum Qualifications:

To qualify you should minimally have an Associate's degree in a related field. Minimum of three years of related experience in an administrative support role or the equivalent combination of education and experience. Proficient in the use of Microsoft Office Word, Outlook and Excel. Ability to develop moderately sophisticated spreadsheets; set up routine computer procedures; resolve simple software/hardware problems. Ability to access e-mail, electronic calendars, and other basic office support software. Effective oral, written, communication, interpersonal and customer service skills. Ability to multi-task while paying attention to detail. Ability to exercise administrative judgment and assumes responsibility for decisions, consequences, and results.

Familiarity with the Jewish religion and culture is a benefit but not required.
