Description We are looking for a Construction Administrative Assistant to join our client's team in Great Neck, New York. This role involves providing administrative support to their construction team and managing various administrative tasks to ensure smooth operations on construction projects. Responsibilities: Prepare, review, and distribute project documentation, including contracts, permits, and reports Maintain accurate and up-to-date project files, both electronic and physical Assist in the preparation and submission of project proposals and bids Coordinate and schedule meetings, appointments, and site visits for the construction team Assist in the coordination of project activities and timelines Communicate with subcontractors, suppliers, and clients to ensure timely delivery of materials and services Perform general office duties, including filing, photocopying, scanning, and data entry Answer and direct phone calls, take messages, and respond to inquiries Manage office supplies and equipment, ensuring adequate inventory and proper functioning Assist in the preparation and processing of invoices, purchase orders, and expense reports Track project budgets and expenses, ensuring accuracy and compliance with company policies Coordinate with the accounting department to ensure timely payment of invoices Act as a point of contact for internal and external stakeholders, providing project updates and information Utilize skills such as answering inbound calls, customer service, data entry, email correspondence, inbound outbound calls, Microsoft Excel, Microsoft Outlook, Microsoft PowerPoint, Microsoft Word, schedule appointments, and administrative assistance.Requirements Proficient in Microsoft Office Suite including Microsoft Excel, Microsoft Outlook, Microsoft PowerPoint, and Microsoft Word Experience in Administrative Assistance is necessary Ability to manage inbound and outbound calls efficiently Excellent customer service skills Proficiency in data entry tasks Experience with email correspondence Aptitude for scheduling appointments and managing calendars Ability to handle high volume of incoming calls and respond effectively Strong organizational and multitasking skills Exceptional verbal and written communication skills Attention to detail and problem-solving skills Ability to work independently and as part of a team.
