This posting is for reclassification purposes.Vacancy Announcement Position Information Campus Title Administrative Assistant 2, SG-15 Department School of Business Position Summary HIGHLIGHTS As an Administrative Assistant 2 in the School of Business, you will provide administrative and clerical support to the School of Business, including the Dean, Associate Dean, Director of Student Services, faculty, and staff members, by working independently and under direction.Your responsibilities will include:

assisting the Dean in managing the budget and financial accounts of the School;

completing and processing appointment and reimbursement paperwork for the school;

preparing purchase requisitions;

managing supplies and other office operation needs;

creating and maintaining filing systems for faculty personnel actions;

overseeing the school’s, the dean’s, and the associate dean’s calendars;

scheduling and coordinating meetings and special events;

managing the school’s document depositories, website, and email account

providing student services, including hiring and supervising student workers and communicating with students on programs and special events

If you are not eligible by way of the Civil Service list or transfer, you may be eligible to be hired provisionally. You would need to meet the provisional eligibility minimum qualifications (below) and sit for the Administrative Assistant 2 exam when it is held (applications to sit for the examination closed 12/04). You will be expected to qualify for the competitive exam, scoring high enough to be reachable to achieve permanent appointment. High school diploma or high school equivalency diploma

Three (3) years of experience in administrative support at an Administrative Assistant 1 level or higher.

Experience using office software (e.g., email, word processing, Excel), supporting administrators, faculty, and students, and managing an office.

A demonstrated ability to work effectively and collegially with a variety of individuals.

Completing and processing appointment paperwork for the school.

Completing and processing reimbursement paperwork for the dean, associate dean, and school staff members.

Completing and processing payments to various vendors and agencies, e.g., AACSB , Faculty Success, etc.

Preparing purchase requisitions.

Managing supplies and other office operation needs.

Overseeing the school’s, the dean’s, and the associate dean’s calendars.

Managing the school’s document depositories.

Managing the school’s website and email account.

Developing, updating, and maintaining recruitment documents and handouts.

Greeting visitors or callers and handling their inquiries or directing them to the appropriate persons.

Operating office equipment including printers, scanners, and copiers and arranging for repairs when equipment malfunctions.

Completing and processing reimbursement paperwork for faculty members.

Assisting with new faculty onboarding.

Collecting faculty syllabi at the beginning of every semester.

Posting notices for canceled classes or office hours on behalf of faculty members.

Making travel arrangements and processing reimbursements for on-campus interview candidates.

Function 3: Student Services

Hiring student workers, including peer tutors, peer advisors, teaching assistants, and research assistants.

Approving time sheets of student workers.

Coordinating schedules of peer tutors and peer advisors.

Communicating with students on programs and special events.

Assisting the Director of Student Services in recruiting and supervising peer advisors.

Assisting the Director of Student Services in providing course registration policies and procedures to students.

Assisting the Director of Student Services in assigning faculty advisors to students.

Assisting the dean, associate dean, area coordinators, and committee chairs in making meeting arrangements, including creating online meetings.

Creating conference & event materials

Managing deposits of funds received from events.

Managing payments of event-related expenditures to external vendors.
