Accounts Receivable & Collections Specialist

If you are looking for a chance to use your skills to the fullest, or learn some more, we have a place for you!We are offering:Starting salary is $18 to $20 an hour based on experienceFull-timeFull benefits (health, dental, & vision)Day shift401(k) with company matchPaid time offEmployee Assistance Program (EAP)Company paid life insuranceFull job details follow:Essential Duties and ResponsibilitiesMonitors aged accounts receivables and follows up with customers when accounts exceed 40 days past dueMakes calls, e-mails or checks websites for payment status dependent on customer accountResearches short pay and over pay issues, and makes necessary adjustments to customer accounts when neededEnsures the total cashed check from customers matches the deposits made into the customers' accountsEnters accounting information from all sources into accounting systemEnsures all communications are documented in the Collections screen under the customer's account codeFollows up on all communications on a weekly basis until payment is receivedReviews accounts with web portals/access for current status of all invoices to assure they have been received and will process for payment when dueInvestigates short pay/over pay issues and makes necessary adjustments where neededEnlists agents, sales and customer service to assist with resolving issues as neededCommunicates problem accounts with manager Enters necessary adjustments into either TMW or GP, whichever is appropriateVerifies adjustments are done in timely manner, assuring the correct account numbers have been used for the adjustmentsFollows the transaction through to assure all parties, including trucks and agents, are accurately adjusted Ensures ACH/EDI deposits are cashed off accurately and in a timely mannerUnderstands when deposits can be done in TMW and when best handled in GPOrganizes checks and remittance information for scanning to the bankWatches carefully to make sure total checks and deposit amounts balanceCashes off checks accurately and timely noting any differences in amount billed to amount paid on remittance adviceKeeps track of unapplied money to follow-up on at a later time when necessaryInvestigates instances of short pay to find the root causeAlerts manager to any potential problems such as excessive short pays/overpaysHelps identify billing problems such as incorrect fuel surcharge to the managerEnsures inquiries to customers, agents, customer service and dispatch are done in a courteous mannerCertifies all adjustments are made to receivables as well as the agent and truck based on the reasonConfirms agent offices are included in the communication regarding write offsDeposits/batches are posted up and the bank deposit function is performed in GPMakes sure reports are printed and filed as required Required Professional Skills and AbilitiesAttention to detail shown through complete and accurate work productGood interpersonal and customer service skills, well-developed verbal and written communication skills, and the ability to work with internal and external customersSound organizational, records management, and time management skillsThe ability to effectively prioritize responsibilities and meet assigned deadlines Education, Experience, and Other RequirementsAn associate's degree in a relevant field of study4 years of relevant experienceEquivalent combination of education and experienceIntermediate knowledge Microsoft Excel, knowledge of Great Plains desirable The AR/Collections Specialist is primarily located in a climate-controlled office environment with moderate noise levels but may experience other physical environments while traveling.
