The HVAC Parts Coordinator’s primary functions are to maintain accurate parts and materials in his assigned warehouse/s and service & installation vehicles. The HVAC Parts Coordinator is responsible for procuring materials for service, installations and maintenance, picking up and delivery of parts to technicians and installers in the field, and handling all HVAC related warranty submissions / credits and returns. This position may require time in the field in support of our technicians as needed.
ESSENTIAL FUNCTIONS- include and are not limited to:
Works in conjunction with our complete HVAC Team to facilitate the ordering and distribution of needed materials (both stock and non-stock) as needed.
Work with the Purchasing Manager to ensure that all Purchase Orders, Receiving, Cash Sales, and Credits are done in accordance with company policies.
Procure and stage parts, material and equipment to be distributed to our Technicians and Installers as needed.
Work with the Service Manager and Purchasing Manager to coordinate and maintain the warehouse and to assist in ordering necessary parts, materials, equipment, and consumable supplies as needed.
Assist the Service Manager and our Service Technicians in researching specialty items and shopping for best price/value on materials as needed and request P.O.’s.
Assist the Service Manager and Purchasing Manager in managing and counting the inventory in all assigned warehouse locations, including service and installation vehicles as needed.
Responsible for overseeing, tracking, and working with the Service Manager to submit for all warranty part credits.
This position will also require you to work with both our Branch Service Technicians and Installers as needed to assist in completing service calls or installations on an as needed basis at the direction of the Service Manager.
Other assigned duties or tasks as needed.
RESPONSIBILITIES- include and are not limited to:
Maintain compliance with all company and government safety, policy and regulatory standards.
This position may also require the Service Parts Coordinator to be available after normal business hours and on weekends as needed to handle emergency customer inquiries.
Maintain compliance with all company policies and procedures.
Maintain compliance with all traffic and environmental laws and regulations.
Maintain accurate safety and compliance records and submit timely as needed.
Maintain confidentiality of all customer and company information.
Maintain a clean and well-kept company vehicle.
Maintain a clean and well-kept personal appearance wear company provided garments.
Maintain a valid driver’s license.
Provide professional courteous customer service to internal and external customers.
Collect payments from customers when necessary.
Be capable of maneuvering equipment and materials in excess of 300 pounds with use of proper mechanical devices and/or additional man power.
Be capable of occasionally performing work outdoors with exposure to the elements.
Be capable of occasionally performing work when exposed to fumes and or vapors.
Inspect and operate company vehicle in accordance with company and governmental standards.
Complete any reports and paperwork according to company standards, policies and procedures.
Report any incidents accurately and timely.
Exchange trade related knowledge and information with the supervisor and co-workers.
Communicate with the supervisor on a daily basis.
Participate in any required job training, certifications, safety meetings informational seminars as requested.
Report to work as scheduled and work overtime as needed.
Perform other related duties as assigned.
QUALIFICATIONS AND SKILLS- include and are not limited to:
EPA Refrigerant certification-if not currently certified will need to obtain within 1 year of employment and maintain these certifications.
Must possess a positive attitude and work well with others in a team atmosphere.
Possess a drive, determination, professionalism, and the desire to be a significant factor in growing our business.
Strong organizational skills and detail orientated, with the ability to multi-task.
Proficiency in MS Office required, including Excel and Word, with the ability to develop and track spreadsheets as requested.
A minimum of 2 years’ experience in the HVAC industry is preferred.
Clean driver’s license (A CDL B is preferred).
