Description We are looking for a contract Legal Administrative Assistant to provide essential support to attorneys, paralegals, and legal teams by managing administrative tasks, facilitating smooth workflow, and ensuring compliance with legal procedures. This role demands high attention to detail, strong organizational skills, and a proactive approach to prioritize and manage tasks in a fast-paced legal environment.Key Responsibilities:

Document Preparation: Draft, edit, format, and proo legal documents, contracts, pleadings, subpoenas, and correspondence to ensure accuracy and compliance with legal standards.

Case File Management: Organize and maintain electronic and physical case files and databases, ensuring proper documentation and accessibility.

Scheduling: Coordinate appointments, hearings, depositions, and travel arrangements; maintain attorney calendars to avoid scheduling conflicts.

Communication: Interface with clients, opposing counsel, court personnel, and other stakeholders, serving as a point of contact to respond to inquiries and direct calls/emails appropriately.

Legal Research: Assist with basic legal research tasks such as locating statutes, case law, and information relevant to ongoing cases.

Billing and Invoicing: Track billable hours and assist with client invoicing to ensure proper and timely payment processing.

Compliance and Records: Ensure adherence to confidentiality protocols and compliance with lawful procedures under applicable legal guidelines.

Technology Utilization: Use legal software for case management, e-filing, and data organization, such as Clio, LexisNexis, or similar industry tools.

Team Collaboration: Work closely with attorneys, paralegals, and other administrative staff to support legal projects and office operations efficiently.

Requirements

Required Skills and Qualifications:

Education: High school diploma or equivalent required; a bachelor’s degree or certification in legal studies is preferred.

Experience: Minimum 1-2 years of experience in a legal assistant or administrative role; familiarity with legal terminology and court processes essential.

Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and legal software such as Clio, eDiscovery tools, or billing platforms.

Organizational Skills: Ability to prioritize tasks, multitask under tight deadlines, and manage sensitive information effectively.

Communication: Strong written and verbal communication skills, along with the ability to interact professionally with clients and team members.

Attention to Detail: Exceptional focus in reviewing documents and managing data to ensure accuracy and compliance.
