Administrative Assistant Homes for the Homeless is seeking a proactive and detail-oriented Administrative Assistant to support the management team in our busy residential facility for families. The Administrative Assistant is responsible for directing calls, timekeeping, tracking financial transactions, maintaining records, and carrying out compliance protocols. ABOUT HOMES FOR THE HOMELESS, INC Homes for the Homeless, Inc. (HFH) is a non-profit social services organization operating family shelters throughout NYC that serve as a hub of opportunity for families both residing in shelters as well as those in the neighboring community. On-site programs range from childcare, early childhood education centers, afterschool clubs and programs, and youth recreation activities, such as sports teams, to housing assistance, case management, parenting workshops, career and job vocational training, support groups, and substance abuse assistance, and family engagement and recreation events for the whole family. ESSENTIAL DUTIES AND RESPONSIBILITIES

Review and process time cards for bi-weekly payroll.

Oversee all payables and receivables through collaboration with the central office.

Assist Facility Administrator with the management of cash flow and petty cash.

Assist in the management of office systems, equipment contracts, and vendor contracts through collaboration with the central office Building Management.

Ensure correct DHS billing.

Maintain personnel records including annual health records, training certifications, security clearances, hiring packages.

Coordinate fingerprinting appointments with DOI and DOH for new hires.

QUALIFICATIONS

A satisfactory combination of experience and education.

Intermediate skills with Microsoft Office applications preferred.

Familiarity with multiple aspects of office management and/or human resources operations, such as payroll, leave administration and benefits.

Ability to prioritize assignments and handle multiple tasks with strong organization and time management skills.

Knowledge of ADP-Workforce Now.

Excellent communication skills
