REAL ESTATE DEVELOPER ADMINISTRATIVE ASSISTANT

Overview

A real estate development company in the Capital District Region is seeking an administrative assistant to perform office and project management tasks to ensure smooth office operations for the Developer. The role will be focused on providing key support to the company’s development operations in the development and acquisition of affordable and workforce housing.

The ideal candidate will be able to think analytically and have excellent written skills. They should be a quick learner, highly organized, reliable with a positive attitude. Good communication and interpersonal skills will be key to this position.

The Position:

The main responsibility of the Administrative Assistant will be to aid in all the administrative functions for the development firm. The essential functions include, but are not limited to

Manage the Owner’s Calendar and schedule appointments

Compose written communications to clients, vendors, associates, consultants, etc.

Aid in research and support developing new deals in the pipeline: Zoning Research/Applications for Zoning changes, Variances, Easement, Special Exceptions

Aid in Conduct research and prepare presentations or reports as needed

Aid in proposal creation

Schedule meetings (proficient using Zoom & Teams meeting platform)

Maintain customer database and contact information

Create promotional and advertising materials (using Canva)

Composes and posts online content on social media accounts

Update bookkeeping records in HubDoc for QuickBooks access

Order office supplies as needed

Answer and make calls as needed

Monitor, screen, respond to and distribute incoming communications.

Aid in review of operating procedures, practices and implement improvements where necessary

Assist in coordinating project plans for development project

Update and maintain both electronic and paper filing system

The Requirements:

Associates degree required. Bachelor’s degree preferred. At least 3 years work experience

Highly proficiency in the Microsoft suite of applications

Great proof reading and writing skills

Access to stable internet and a computer

Salary Range: $18 to $25 p/hr.

This position has a highly flexible schedule, where part of the work week may be done remotely. This position in considered an independent contractor position.
