Title: Receptionist/Cashier Classification 2019

Reports to: Deputy Director of Administration and Maintenance Position 1016

Summary: Incumbent provides counter services, answers the telephone, informs staff of visitors, provides general information on the housing application process, waiting list and receives rent payments.

Grade:

Salary: Commensurate with Experience

FLSA Status: Non-Exempt

Job Tasks and Responsibilities

1. Greet visitors and ensure sign-in

2. Notify individual employees that they have a visitor

3. Answer the telephone

4. Take and deliver messages

5. Assist with mail preparation and disbursement

6. Assist with filing, typing, data entry, copying and miscellaneous office tasks

7. Fax materials and correspondence

8. Retrieve telephone messages daily and on an ongoing basis

9. Track employees daily schedules

10. Ensure office equipment works properly

11. Manage work order requests

12. Collect and record rent payments

13. Record tenant chards

14. Assess late fees

15. Schedule tenant meetings as requested and send notices

16. Assist with scheduling move-outs and move-ins

17. Receive tenant work orders

18. Enter work orders into the tracking database

19. Distribute work orders to the Maintenance Supervisor

20. Process completed work orders

21. Monitor utilization of the learning center and senior centers

22. Organize and maintain supplies in assigned areas

23. Adhere to all HUD rules and regulations

24. Perform other duties and work tasks necessary and required for successful and efficient achievement of Santa Fe Civic Housing Authority goals and objectives

Required Skills and Abilities

Ability to work well with individuals of varying backgrounds and skill levels

Participate as an active team member

Computer and electronic communication competency

Knowledge of general office equipment

Excellent organization, accuracy and detail orientation

Excellent written and verbal communication skills

Demonstrated problem-solving, record-keeping and mathematical skills

Preferred Qualifications

Education: High School Diploma or GED Certificate

Work Experience: 1 year experience in a similar position

Special Requirements/

Working Conditions: Office working environment with considerable exposure to a computer screen.
