Job Description

Part-time, shared position, working afternoon hours, 12-5 pm, reporting to the Office Manager, who will fully train the individual in the job's duties, responsibilities, and expectations. Proficient computer skills are required, in addition to possessing a positive attitude and trustworthy business acumen. Organizational and customer service skills are a must, along with being a team player. High punctuality and speed to market are critical to job performance.

Administrative Duties and Responsibilities

Prepare correspondence, documentation, and other pertinent materials with administration and operational needs.

Maintain and update files and databases.

Answer phones, take detailed/accurate messages, and/or transfer calls to the appropriate party.

Receive mail and packages from USPS, FedEx, UPS, and couriers; date stamp items, deliver mail to the proper recipient (s), and alert applicable staff member (s) when packages are received.

Schedule appointments and conference room meetings, including setting up Zoom meetings and preparing the necessary set-up. Maintain conference room calendar to avoid conflicts.

Prepare paper copies, scans, and other documentation.

Ensure all office areas are well stocked/supplied with appropriate products, including conference room, copy area, kitchen & bathrooms.

Assist the Office Manager in all areas of administrative oversight.

Close, tidy up, and secure the office at the end of the day.

Administrative Duties and Responsibilities

High School degree; 2-3 years of college undergraduate study an advantage.

Previous office administration and/or customer service preferred.

Proficient computer skills, including Word and Excel.

Solid time management skills; able to prioritize, organize, and activate.

Spanish speaking a plus.

Driver’s License in Good Standing.
