The Simons Firm LLP is seeking a full-time Front Desk Assistant/Receptionist to join our friendly and fast-paced law firm in Santa Fe, New Mexico. We are a small, client-focused team handling a range of civil matters, and we’re looking for a professional, organized, and friendly Receptionist to join our team.
Job Summary:
As our Receptionist, you will be the first point of contact for clients and visitors. Your role is essential in maintaining a professional front desk environment, assisting with administrative tasks, and supporting our legal staff with day-to-day operations.
Responsibilities:
Greet clients and visitors in a courteous and professional manner
Answer, screen, and route incoming phone calls
Schedule appointments and manage calendars for attorneys
Perform intakes of potential clients
Assist in processing incoming and outgoing legal pleadings and correspondence
Formatting and proofreading legal documents and correspondence
Maintain a clean and organized reception area
Assist with filing, data entry, and other administrative duties as needed
Maintain confidentiality of sensitive information
Assist in scheduling Hearings and tracking Deadlines
Perform essential firm errands as required
Shop for and maintain inventory of office supplies
Stock office with food, beverages, and general supplies
Water and care for office plants
Open and close the office, ensuring it is secure and presentable
Qualifications:
High school diploma or equivalent
Prior experience in a receptionist or administrative role preferred
Excellent communication and interpersonal skills
Strong organizational skills and attention to detail
Proficient in Microsoft Office (Word, Outlook, Excel)
Ability to handle a fast-paced environment and multi-task efficiently
Professional appearance and demeanor
