Job Title: Registrar at the Regenesis Institute for Regenerative Practice

Position: Part-Time, 10 hours/week with potential for growth

Compensation: $25/hour

About Us:

The Regenesis Institute for Regenerative Practice is a 501(c)3 nonprofit organization founded in 2018, building on the work of our sister organization, Regenesis Group, which has been advancing the field of regenerative development since 1995. Regenerative development is the process of harmonizing the activity of human communities with the continuing evolution of life on our planet-–a process that also grows and evolves our own potential as humans.Our educational programs support regenerative practitioners in developing the capacities required to become agents of regeneration, transforming their practice, their fields of work, and their larger communities.

Position Overview:

We are seeking a part-time Registrar to join our team. This role averages 10 hours per week, with potential for growth. The Registrar will support our operational needs, working closely with the Director of Community Engagement and Education Programs, Avery Hardy, the Executive Director, Shannon Murphy, and the Director of Education, Pamela Mang.

Key Responsibilities:

Enrollment Management:

Oversee automated enrollment tracking systems.

Respond to general enrollment inquiries.

Coordinate enrollment logistics with our digital operations (e.g., schedules for student reminder emails, building out new products for new courses).

Collaborate with staff to develop, review, and approve schedules for new programs.

Coordinate and finalize faculty teaching assignments across programs.

Payments Management:

Oversee payments tracking through our automated system.

Manage scholarship requests.

Oversee payment reminders and handle bounced payment management.

Troubleshoot payment issues and answer related questions.

Provide bookkeeping assistance to our finance manager and executive director, including logging and categorizing transactions, generating reports, and paying vendors.

Prepare regular reports on enrollment, payments, scholarship allocations, and other key metrics

Customer Service:

Engage with students and prospective students regarding questions, support requests and concerns.

General Administrative Support:

Maintain user accounts for vendors and service providers, including receiving notices, keeping payment information updated, and renewing contracts.

Check the mail at our office, scan, and send to the recipient.

Assist in organizing and managing educational events and workshops, including our seminar program, supplemental educational events offered as a part of existing programming, and Institute-facilitated workshops.

Desired Qualifications:

Proficiency in Google Drive.

Proficiency in or comfort with learning QuickBooks Online.

Proficiency in or comfort with learning WooCommerce.

Proficiency in or comfort with learning Asana.

Proficiency in or comfort with learning Slack.

Who We're Looking For:

We seek a highly organized individual passionate about regenerative thinking to join our dedicated team. The position requires competence and diligence in nonprofit administrative tasks, as well as a willingness to work in a customer service role. We are particularly looking for someone who can commit to a high degree of responsiveness and personal autonomy in managing tasks and workload, as many of our administrative needs require a quick turnaround. As our work continues to grow, there is potential for this role to expand within the Institute.

Location:

While our offices are based in Santa Fe, New Mexico, this position is open to candidates in the Western US time zones (Pacific, Mountain, Central). We welcome hearing from both local and remote applicants.
