Senior Project Coordinator, Supplier Management & Procurement

As the Senior Project Coordinator within the Supplier Management & Procurement (SMP) team in School Assessment, you will be responsible for working with independent contractors, bringing on new contractors, maintaining updates in the contractor database, ensuring that contractors are paid accurately and on time, and resolving any issues that come up. You will also create requisitions for purchase orders of services for internal customers, as needed, thus you must be able to communicate across all levels of the organization. As the Senior Project Coordinator, you will be responsible for sending documents with confidential information for electronic signature. At times, you will create presentations to deliver to internal stakeholders on the SMP and contractor procurement process.Job Functions & Responsibilities:

Create supplier Statements of Work (SOWs) and process amendments against those SOWs

Track multiple SOWs through to completion

Onboard new independent contractors and suppliers

Create secure FTP accounts for gathering contractor information during onboarding

Process weekly invoices from multiple programs across Pearson

Run weekly/monthly finance reports

Manage the contractor database (MS Access), including working with software developer on any issues that arise

Create requisitions in Oracle iProcurement as needed for internal customers, resulting in creation of purchase orders

Track invoice payments against purchase orders to closure

Manage help desk tickets to resolve issues

Correspond with independent contractors or with vendors to answer payment queries

Train/provide internal support to Project Managers with SOWs, amendments, invoices, Smartsheet and general guidance with tasks

Work in collaboration with the extended team to drive SMP and School Assessment’s objectives and goals

Document, update, and maintain processes and procedures as assigned

Identify cost savings and process improvement opportunities for efficiencies in support project activities

Provide additional support for team, as needed

Qualifications

Bachelor’s Degree preferred or commensurate experience

Internal and external customer relationship management

Experience in Microsoft Office (Word, Excel and Outlook)

Effective verbal and written communication skills; strong listening; ability to communicate across all levels of the organization

Strong problem solving and change management ability

Ability to handle confidential information and materials in an appropriate manner, per company policy

Self-starter and self-motivated learner, ability to quickly learn procedures and programs through formal training and self-instruction

Must be able to multi-task, organize and use effective time management, prioritize, work in a fast-paced environment, and manage multiple priorities/projects

Exceptional attention to detail, and ability to follow through

Flexible; able to work independently; able to make decisions based upon limited information

Experience in assessment and education industry is a plus

Experience using Access, Smartsheet, PowerPoint, Teams, SharePoint, AdobeSign, Oracle iProcurement, and FoxIt are preferred but not required

Compensation at Pearson is influenced by a wide array of factors including but not limited to skill set, level of experience, and specific location.
