ADMINISTRATIVE ASSISTANT

BUSINESS SUPPORT SPECIALIST

General Purpose

Bristol Infrastructure Design Svcs, LLCis looking for a responsible Administrative Assistant / Business Specialist to perform a variety of administrative, and professional tasks. Duties of the Administrative Assistant include providing high-level support to our General Manager and the Operations Manager with daily project-specific, and office requirements and managing our company’s administrative activities within the area of Corporate Business and Federal Government Contracts. This position can reside in an official office environment or may be performed remotely depending on the location and experience of the selected candidate.

Major Responsibilities

Current working knowledge of Office 365, Outlook, Excel, Word, PowerPoint, SharePoint

Creation, editing, and formatting of PowerPoint Presentations, correspondence, and reports

Create, update and edit PowerPoint presentations, Word documents, and Excel spreadsheets

On-boarding/off-boarding of employees and/or any employee-related events, including all requests for all new hire requirements (access cards, new computer/telephone, etc, workstation), and providing general information as to company benefits to new employees

Organizing meetings, conference calls, and Team Meetings

Scan and/or upload documents to SharePoint to facilitate communication with all levels of management, both internal and external

Organize project data for progress periodic reporting and update trackers

Establishes and maintains job and proposal files

Special projects on an as-needed basis

Handle multiple tasks while being flexible as priorities and focus can change rapidly

Produces and distributes correspondence as requested: prepares and assembles reports, proposals, and other documents

Manage and maintain calendars and meetings for the General Manager and Operations Manager

Arranges travel as requested

Greeting guests for the team

Reconciles and submits expense reports

Provides general support to visiting colleagues and visitors, as needed

Maintains a neat and orderly office environment, assists management, as needed

Required Knowledge or Skills

Ability to gather and analyze data, reason logically and creatively, draw conclusions and make appropriate solutions to solve problems.

Basic understanding of finance and accounting procedures

Ability to prioritize and organize, work well under stress, and meet deadlines

Ability to work independently with minimal supervision or guidance

Proven strong initiative, accountability, and leadership

Strong interpersonal skills to assist and communicate with all levels of staff and clients

Knowledge of traditional office equipment such as copiers, scanners, shredders, and postage machines

Written communication skills

Ability to perform tasks in a safe and responsible manner

Possess excellent team working spirit

Preferred Knowledge or Skills

Experience, knowledge, and understanding in support of Federal Government (DoD) contracts is a strong plus.

Specific physical requirements include, but are not limited to, walking, lifting, grasping, talking, hearing, and performing repetitive motions.

Minimum Education/Experience

High School Diploma or Associate Degree in Business with three to six years, depending on the education level, of experience in an Administrative Support position with similar duties and responsibilities as outlined above.
