Gatton & Associates, P.C. is looking for an organized, efficient legal document clerk to join our team. This essential role is responsible for organizing and keeping up the management of the cataloging system of legal documentation and records that our team works with every day. The daily duties of the legal document clerk involve filing, organizing, and preparing legal documents, as well as communicating with clients, prospects, office visitors, and vendors. Our ideal candidate must be comfortable with highly confidential information, demonstrate an attention to detail, and assist paralegals and attorneys in locating files and helping them out as needed.
ESSENTIAL JOB FUNCTIONS
Filing/ Indexing
Compiling legal documents
Filing legal documents such as court filings, contracts, correspondences
Maintaining and updating files in an organized filing system
Creating photocopies and scanned reproductions of records and legal documents
Organizing/Assembling
Organizing large amounts of legal documents, invoices, and letters
Preparing documents and binders for court hearings, trials, and depositions
Assembling and preparing outgoing mailings including certified mail with return receipts
Monitoring and distributing incoming and outgoing mail
Adding Bates Numbers to documents
Communicating
Performing Client FYIs daily and weekly
Writing and speaking in person, by email, and over the telephone
Communicating with attorneys, paralegals, clients, prospects, and court personnel
Answering and transferring phone calls to appropriate parties, and serving as backup to receptionist
Calendaring appointments as needed
Signing for packages from USPS, FedEX, UPS, Couriers
Other tasks
Performing courier/runner duties, including hand deliveries to and pickups of documentation from locations including courthouses, law firms, banks, and post office
Overseeing and re-stocking office supplies and groceries
Monitoring and streamlining office efficiencies
REQUIREMENTS AND QUALIFICATIONS
High school diploma and associate's degree, or bachelor’s degree with pre-law, administration, or a related field preferred
Proficient computer skills, including Microsoft Office Suite (Word, Excel, Outlook, and TEAMS)
Willingness and ability to be trained to learn and use new software applications and processes
Clerical, scheduling, and organizational skills
Excellent written and verbal communication skills
Able to perform a wide range of clerical duties, maintaining files and highly confidential information
Excellent time management and timekeeping skills
Able to prioritize and manage large amounts of tasks, schedules, and information
