We have long been associated with many of the most significant advances in eye health, and we believe we are well positioned to continue leading the advancement of eye health in the future.Position ObjectiveResponsible for providing administrative support for Global Regulatory Affairs and Medical and Scientific Affairs leadership.Responsibilities

Provides administrative assistance to Vice President and assigned Directors

Calendar: Arranging meetings, managing calendar changes, ensuring room and required equipment for meeting

Travel: Arranging travel for business trips for Directors and VP including transportation to and from event; transportation to airport, train, etc., hotels, transportation at destination(s)

Group meetings: Work with key department staff on group meetings including scheduling hotel rooms, transportation to meeting, meeting rooms at hotel, food during meetings, audio visual equipment for rooms and any other requirements identified.

Expense reports: Completes expense reports for VP and assigned Directors in a timely manner and any follow up of payments required.

Budget: Assists VP and Directors with maintaining department budget; responsible for assisting, filing and tracking all contracts, ensuring contracts are current, sets up Purchase Orders and tracks payments against the PO; maintains records of invoices; prepares with VP and Directors the monthly accrual report; works closely with finance to ensure finances of the RA department are up to date

Other tasks as assigned by Vice President and assigned Directors

Requirements

Minimum 7 years’ experience providing administrative support to a group of Sr. Leaders in a regulated environment. Prior Regulatory Affairs support preferred.

2-year degree preferred.

Knowledge of basic bookkeeping.

Good project management skills.

Must have excellent communication, organization, time management and writing skills.

Attention to detail.

Respect for confidential information.

Strong interpersonal skills required in areas of verbal and written communications, service to internal customers, and professionalism.

Ability to problem solve and plan next steps.

Must be self-motivated by working independently and having the ability to take ownership of his/her responsibilities.

Must have command of English language.

Computer literate with general office software and internet use.

Ability to read and respond to emails professionally.

Ability to create high level business presentations.

Ability to write routine email, agendas and business correspondence.

Ability to work across multiple time zones with knowledge and appreciation of cultural differences.

10% travel may be required.
