Job Title: School Bus Transportation Secretary
Time: 6:30 AM to 4:30 PM
Primary Purpose:
Assist with daily operation of transportation office and provide clerical services to director of transportation.
Qualifications:
Education/Certification:
High school diploma or GED
Special Knowledge/Skills:
Proficient keyboarding and file maintenance skills
Proficient skills to update/maintain departmental web page
Proficient knowledge with various software to include: Outlook, Word, Power Point,
Excel and Access
Knowledge of correct English usage, grammar, spelling, and punctuation
Basic math skills
Strong communication skills
Experience:
Three years secretarial experience, preferably in public education environment
Major Responsibilities and Duties:
Routes and Schedules
1. Assist or handle assignments of bus drivers, bus routes, vehicles, and substitutes for morning and afternoon shifts.
2. Assist with or coordinate extracurricular transportation.
3. Prepare data required to plan bus route and post route schedule.
4. Maintain map files.
Records, Reports, and Correspondence
5. Prepare correspondence, memorandums, forms, requisitions, and reports for transportation office using personal computer.
6. Receive and process work orders.
7. Compile pertinent data to prepare various required state and local reports.

8. Maintain physical and computerized departmental files on transportation issues, including bus incident reports, trip forms, and accident/injury reports.
9. Keep up-to-date files for all department employees including driver certification, licensing, and physical exam records.
10. Maintain bus rider assignment records and appropriate student records as needed.
11. Comply with all district policies, as well as state and federal laws and regulations.
Communication
12. Dispatch drivers and vehicles and communicate with them using a telephone and two-way radio.
13. Notify drivers, parents, and school personnel of any changes in a student’s bus service, such as an address change, change in pick-up and drop-off location, change in time or bus change.
14. Maintain positive and cooperative working relationships with colleagues and others.
15. Process incoming/outgoing mail.
Phones
16. Answer incoming calls promptly, professionally, with a friendly attitude. Take reliable, accurate messages, and route them to appropriate staff.
17. Answer incoming calls and handle questions and requests that fall within level of responsibility.
Accounting
18. Assist with preparation of purchase orders and payment authorizations.
19. Compile and report time records or prepare payroll on employees.
20. Calculate trip tickets for payment to route drivers and extracurricular drivers and bill appropriate department or campus.
Data Entry
21. Input all supply and equipment purchase information in computer.
22. Input student and staff information in computer.
23. Input route, rider, limit, and other required information utilizing Transfinder Pro.
Other
24. Order office supplies for department.
25. Welcome all visitors and handle their requests or refer them to appropriate personnel.

26. Maintain effective rapport and good public relation with general public and handle any problems or concerns in a prompt and courteous manner.
27. Maintain a schedule of appointments and make arrangements for conferences and interviews.
28. Maintain confidentiality.
29. Other duties as assigned.
Supervisory Responsibilities:
None.
Equipment Used:
Radio communication equipment, intercom system, personal computer, printer, copier, and calculator.

Repetitive hand motions; prolonged use of computer; work with frequent interruptions; work both inside and outside; moderate exposure to extreme temperatures and vehicle fumes.
