Description We are looking for a diligent and meticulous Real Estate Services Administrator to join our team in Mount Laurel, New Jersey. You will be responsible for managing administrative tasks related to commercial properties, interacting with vendors, and providing excellent customer service to tenants. This role involves working in a hybrid environment and requires skills in property management and invoice processing. Responsibilities: Process invoices related to commercial properties Coordinate with vendors for various services Work with tech services to maintain and update systems Provide excellent customer service to tenants and vendors Maintain tenant, vendor, and property files in accordance with prescribed standards Monitor and coordinate the status of work assigned to vendors Initiate rent collections correspondence and phone contact with tenants, following state regulations Perform a variety of administrative tasks for assigned staff, including phone support, draft preparation and distribution of correspondence, expense reporting, calendar and scheduling, meeting coordination, filing, and copying Ensure the smooth running of office operations by managing schedules, maintaining records and overseeing the upkeep of office facilities Utilize Microsoft Office Suite and invoice processing systems for various tasks Requirements Proven experience in a similar role such as Office Manager, Administrative Assistant, or Executive Assistant Demonstrated proficiency in Microsoft Office Suites, including Word, Excel, PowerPoint, and Outlook Exceptional customer service skills and experience in a customer-facing role Proficiency in managing and coordinating schedules and calendars Experience with invoice processing and understanding of collection processes Familiarity with insurance policies and procedures, particularly in relation to property and real estate Ability to efficiently manage correspondence and filing systems Experience in handling expense reporting and budget management Knowledge of local regulations relevant to property management and real estate Ability to read and understand lease abstracts Strong phone presence and comfortable interacting with vendors and tenants Experience in coordinating meetings and events Familiarity with workstation support and ability to troubleshoot basic technical issues Willingness to undergo a all candidates required to undergo drug screening as part of the recruitment process Ability to manage and perform tasks onsite when required Demonstrated experience in training and developing staff members Strong skills in time management and ability to prioritize tasks effectively Excellent written and verbal communication skills High attention to detail and strong problem-solving abilities Ability to work independently and as part of a team.
