We are looking for a responsible, individual with the ability to work independently, to join our team and perform a variety of administrative / clerical tasks. The duties associated with this position include providing customer service support to our customers, perform daily data entry functions, assisting with daily office needs and managing our company’s general administrative activities. Additional responsibilities may include scheduling appointments for our technicians / installers when needed, preparing reports and maintaining appropriate digital filing systems. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Excel, Adobe Acrobat, and work on a MAC OS. If you have previous experience as a Dispatcher, Scheduler or Secretary and have familiarity within the construction industry, we’d like to meet you. Ultimately, a successful candidate should contribute to the efficient and smooth day-to-day operation of our office.
Responsibilities
Answer and direct phone calls
Organize and schedule appointments
Write and distribute emails and forms
Assist in the preparation of regularly scheduled reports
Develop and maintain a digital filing system
Maintain customer lists
Provide general support to administrative peers and field technicians
Skills
Proven experience as a dispatcher or appointment scheduler will be a plus, but not mandatory
Knowledge of office management systems and procedures
Working knowledge of office equipment, like Apple (MAC OS) laptop
Proficiency in MS Office (MS Excel and MS Outlook in particular)
Excellent time management skills and the ability to prioritize work
Attention to detail and problem solving skills
Excellent written and verbal communication skills
Strong organizational skills with the ability to multi-task
High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
